Job Description

This role will be responsible for the overall management and coordination of office operations, of Fastmarkets headquarters office based in London. The role will manage/facilitate the relationships between the appointed Property Management company, local third party facility suppliers, IT infrastructure teams, UK-based employees requirements. The role will also coordinate supplier invoices related with London property, working alongside the Property Management company and Finance Operations function. The office manager will be the go-to person for office related tasks.

PRINCIPLE ACCOUNTABILITIES

General

  • Be responsible for ffacilities mailbox (to be created, primarily for London) for all alerts related with the property and responsible for their actioning
  • Manage/facilitate the relationship between the Property Management company, the facility third party suppliers, employees and office needs;
  • Organise and/or instruct where applicable the related parties about office supply needs, supply replenishment, choice of purchases, stationery deliveries, including but not limited to: milk, coffee, tea variety, fruits;
  • Make supply orders when necessary, accept deliveries and organise storage; act as first point of contact for UK-based staff for supply requests;
  • Maintain supply budget within reason and as allocated by FN; organize adequate reporting to FN;
  • Facilitate IT equipment deliveries and redirection to storage; facilitate IT infrastructure staff access to the office premises;
  • Monitor and organise cabling, power extensions, additional switches, etc. alongside IT infrastructure team;
  • Work with HR, FN and other departments for organising regular archiving of documents; scan and submit in timely manner all documentation (invoices, returns, contracts, orders, bank statements, etc.) to the relevant parties for statutory reporting purposes and payment compliance; Shredding of submitted documents;
  • Organise allocation of lockable storages to the different functions; allocate lockers; maintain records of keys and access codes as required;
  • Manage Mailroom - set up a courier supplier and organise inbound post and outbound courier and shipments for the office; facilitate onboarding a courier service company;
  • Organise access cards, maintain access cards tracker (for joiners and leavers), attendance reports, as well as monitor appropriate allocation of staff office visits throughout the week avoiding peaks on single days and as per desk capacity;
  • House rules - help build the house rules include approach on hot desking, management of meeting rooms ( ensure meeting rooms are always in good order and cleaned from cutlery, paper; ensure cables are not switched off; assist with AV; help print instructions how to use AV; help during external meetings - organize pads, pencils, water bottles)
  • Ensure office equipment and facilities is properly maintained and serviced
  • Act as Company's representative under the provisions of Health & safety regulations, including the management of ergonomic assessments.
  • The coordination and maintenance of Fire Marshalls and first aiders
  • Manage new joiner training and induction processes (including Health & Safety);
  • Preparation of letters, invitations to visitors, coordination of business cards print, as required;
  • Take active part in organise and managing London office based events and social activities, working alongside the relevant teams;
  • Facilitate in the capacity of local expert the research and choice of best suppliers, participate in supplier negotiations for best quotes and best quality services, related with running the office;
  • Proactively advise about improvements, change of requirements, new best practices;
  • Support ESG reporting requirements and activities.
  • And other general office management tasks, that may arise.

Interim

  • Office fitout works
    • coordination and organisation of ad-hock floors fitout works and maintenance, making sure access, working hours, noise prevention etc. are in line with pre-agreed schedules;
    • inspect the floors and stairs three times a day and alert for any discrepancies;
    • liaise with the construction team directly to observe house rules, correct behaviour patterns, noise and pollution;
    • liaise with the cleaning company when ad-hock cleaning is required
  • Office move
    • Communicate and overseeing cleaning of lockers
    • Assign lockers and storage to departments
    • Identify additional lockers needs
  • Cleaning
    • inspect all floors twice a week and request spot-cleaning and trash cleaning from open areas;
    • coordinate deep cleaning of carpets and chairs
