Job Responsibility:
Strengths Based Working (Respect and Dignity) To ensure that all Carers accessing the services are treated with respect and dignity To deal with telephone calls and visitors to Carers Centres with sensitivity, and prioritise them appropriately, directly addressing their needs if possible Individualised Approach (Everyone Counts) Provide administrative support to ensure that ALL Carers are able to access Carers Services Providing reception duties, and having a good awareness of Carers Services in order to provide basic signposting information as required. Quality (Commitment to Quality of Care) To ensure the Carers Register database is up-to-date, and inputting is timely and accurate to ensure Carers receive a high-quality service. To ensure Carers Week bookings, Carers Education Courses bookings etc are input in a timely fashion and that Carers are kept up-to-date. This may include booking venues, taxis, meeting rooms and replacement care. Management of the Carers Discount Scheme including liaison with businesses, regular reviews. Ensure that PARIS recording by staff is accurate and up-to-date and that electronic and paper files are managed according to Trust guidelines. To ensure adequate levels of stocks are maintained and order stationery, supplies, leaflets etc as required. Taking occasional meeting notes. To provide high quality administrative support to enable Carers Services to provide high-quality care, including typing, photocopying, filing, minute-taking and distribution of materials. Organise annual leave allocation and submit monthly leave reconciliation reports. Input weekly time sheets from bank staff who work for Carers Services. Assist with publicity materials ensuring they are of high quality e.g. posters / lamination / raffle tickets. To support the efficient working of the team by managing Calendars, timescales and tasks for members of the team as appropriate. Partnership and Collaborative Working (Working Together for People) To manage practicalities to do with Carers Centres, including liaising with landlords and building service providers, undertaking fire checks. To support Carers staff in the preparation of regular statistics / reports e.g. data from Carers Register, risk assessments, contingency planning, and create Excel spreadsheets as required. To coordinate room bookings and meetings including ensuring appropriate equipment / refreshments are provided when required. To coordinate attendance and materials for display at various events e.g. Carers Week. Managing Connections and Relationships (Compassion) To provide high quality administrative support to the wider Carers team to ensure the smooth running of Carers Services. To liaise with communications and web team, so ensure that information is disseminated in a timely fashion. Service Delivery and Improvement (Improving Lives) To contribute to team plans to improve Carers Services and recognise the important part which administrative support plays in this.
