Position Summary:
The Executive Project Planner Assistant will provide comprehensive support to the Executive Project Manager and other senior executives. This role combines traditional executive assistant duties with advanced project planning responsibilities. The ideal candidate will be highly organized, proactive, and capable of managing multiple priorities in a fast-paced environment.
Key Responsibilities:
Executive Support:
- Manage and maintain executive schedules, including arranging meetings, appointments, and travel itineraries.
- Prepare and edit correspondence, communications, presentations, and other documents.
- Conduct research and prepare reports as required by the executive team.
- Act as a point of contact between executives and internal/external stakeholders.
- Handle confidential information with discretion and maintain the highest level of professionalism.
Project Planning and Coordination:
- Assist in the development and implementation of project plans and strategies.
- Coordinate project activities, resources, and information to ensure project objectives are met.
- Monitor project progress and provide updates to the Executive Project Manager.
- Prepare project documentation, including timelines, status reports, and meeting minutes.
- Facilitate communication across project teams to ensure alignment and resolve issues promptly.
Administrative Duties:
- Organize and maintain files, records, and databases, ensuring data accuracy and integrity.
- Plan and coordinate events, meetings, and conferences.
- Perform general office duties such as ordering supplies, managing office equipment, and coordinating facility management.
Qualifications:
Education and Experience:
- Bachelor’s degree in Business Administration, Project Management, or related field preferred.
- Minimum of 5 years of experience as an Executive Assistant or in a similar role, with at least 2 years of experience in project planning or management.
Skills and Competencies:
- Strong organizational and time management skills with the ability to manage multiple priorities.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and project management software (e.g., MS Project, Asana, Trello).
- Strong attention to detail and problem-solving skills.
- Ability to work independently and as part of a team.
- High level of discretion and professionalism in handling sensitive information.
- Proven ability to manage complex projects and deliver results under tight deadlines.
Job Types: Full-time, Permanent
Pay: £55,000.00-£65,000.00 per year
