Job SummaryWe are seeking a highly organized and detail-oriented Service Coordinator to join our team. As a Service Coordinator, you will be responsible for managing administrative tasks, coordinating service requests, and ensuring efficient operations within the department. The ideal candidate will have excellent organizational skills, strong attention to detail, and the ability to multitask effectively.
Duties· Assisting sales to create work schedules for all engineers.
· Supporting senior management with the enforcement of company policies and standards.
· Collaborating with other departments leaders to define, prioritize and develop projects.
· Planning project management alongside the Engineering Manager, including setting deadlines, prioritizing tasks, and helping team members to various deliverables.
· Preparing service and purchasing contracts.
· Organizing and scheduling appointments.
· Plan meetings and take detailed minutes.
· Write and distribute email, correspondence memos, letters, and forms.
· Assist in the preparation of regularly scheduled reports.
· Update and maintain office policies and procedures.
· Order office/burner supplies and research new deals and suppliers.
· Maintain contact lists.
· Book travel arrangements.
· Submit and reconcile expense reports.
Skills- Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook)- Experience with Sage or similar accounting software preferred- Excellent phone etiquette and communication skills- Exceptional organizational and time management abilities- Attention to detail and accuracy in data entry and record keeping- Ability to prioritize tasks and meet deadlines in a fast-paced environment- Strong problem-solving skills and ability to think critically
