The Oxford Union Society is seeking a Graduate Trainee to join our library team starting in September 2024. Fixed term for 12 months, this full time post will ideally suit someone looking to start a career in the library and information sector. Duties will be varied and will include providing loans and enquiry services to readers, classifying new books, running the library's social media channels, preparing displays of new library materials and assisting with a variety of ongoing digitisation projects as well as undertaking a project of your own.

You will also participate in training, visits, and events run by the Bodleian Libraries Graduate Trainee Scheme, which aims to provide the necessary experience for application to a postgraduate course in Library and Information Management.

You should be a graduate or expect to graduate before October 2024. Good communication skills, excellent attention to detail and a customer focus will be important, as will be the ability to manage time effectively.

Main Duties

1. To provide circulation services to Library users, including loans, reservations and return of material from loan.

2. To answer enquiries from Library users.

3. To deal with day-to-day financial transactions.

4. To receive, process, and classify new books and to prepare displays of new acquisitions.

5. To assist with the upkeep of the Union's historic database.

6. To assist with ongoing digitisation projects.

7. To assist with promotion, publicity and user education as required, for example guiding groups around the Reading Rooms and preparing notices, displays and leaflets.

8. To update the Library's social media pages and to participate in future social media or other service developments as appropriate.

9. To help produce content for the Library and Archives website.

10. To participate in special projects which will improve the general running of the Library and provide experience in other areas of library activity.

11. To act as Secretary to the Library Committee.

12. To represent the Oxford Union Library as required in University-wide and other fora.

13. To undertake any other duties as directed by the Deputy Librarian or Librarian-incharge.

Person Specification

Essential

  • A demonstrable interest in pursuing a career in Librarianship or a related field. • Educated to degree level or equivalent.
  • Willingness to undertake training.
  • Strong IT skills.
  • Ability to work independently without supervision.
  • Effective communicator at all levels.
  • Excellent organisational skills.

Desirable

  • Previous customer service experience.
  • Familiarity with library sector.

Please note that the work can be physically demanding at times and requires the use of ladders as well as lifting and moving books and the majority of the buildings are accessible only via stepped access. We will seek to make accommodations where possible.

Conditions of Employment

This post is full-time (35 hours per week) and subject to a probationary period where your suitability will be assessed further. A degree of flexibility is required and can be accommodated by mutual consent to cover deliveries, contractors, and personal life.

A ‘normal' working day will be 8-hours (including a one-hour break) at any time between 9.00am and 7.00pm, depending on the time of year and planned activities.

Staff have 30 days annual leave plus eight public holidays. The Union is normally closed between Christmas and New Year, with mandatory leave. The remainder of leave can be taken throughout the year, with a preference outside of the University of Oxford term dates (with flexibility). Staff have the option to join our contributory pension scheme and are entitled to a free lunch (to a fixed value) when the kitchen is open.
