An exciting opportunity has arisen to work as part of our GP Training programme administration team, with the focus on providing support to the GP Associate Postgraduate Dean (APD), GP Training Programme Directors (TPD), GP Tutor and GP Training Programme Manager. Full training will be provided. You will provide a wide team with administrative support for the variety of services that we offer. This includes, overseeing and co-ordinating the administrative requirements associated with delivering the GP Training Programme, post graduate medical education plus post CCT GP and Practice Nurse education and continuing professional development (CPD) through the Swindon GP Education Trust. To understand and oversee the administration of GP Medical Education delivered by the Academy and across primary care, including receiving complex and confidential information and dealing sensitively and appropriately to this information. With the relevant TPD and the GP Training Programme Manager, responsibility for the planning and coordination of the training placements for GP trainees across their three years of training. This includes working and liasing with HEESW SoPC and the Medical Staffing Department of the lead employer, Gloucester NHSFT. To co-ordinate and take responsibility for the organisation, delivery and evaluation of mandatory teaching programmes for GP trainee doctors, CPD for post CCT GPs and Practice Nurses through liaison with the relevant leads and GP Training Programme Manager. To be the first point of contact for trainees and any queries relating to the GP Training Programme and GP Medical Education. Supporting trainees in difficulty and understanding the support mechanisms in place and how to deal with difficult situations and conversations. With the GP Training Programme Manager, manage the GP trainee study leave, ensuring it is processed in a timely manner, it is appropriate for GP training against the SoPC policy and that the trainee remains within their annual study leave allowance and budget. On behalf of the APD and GP Training Programme Manager, have the knowledge and responsibility for the planning, coordination and maintaining of data required for the full mandatory reapproval processes for GP Educational Supervisors, Clinical Supervisors and Out of Hours Supervisors. 2. Work with and oversee GP administration colleagues in the delivery, administration, evaluation and quality of trainee teaching, GP medical education and CPD courses and be responsible for the day to day supervision of the GP education administrators including the Swindon GP Education Trust Administrator. 3. Responsible for keeping up to date financial records regarding invoicing, collecting and banking of SET membership, course payments and cost analysis. Within strict deadlines, prepare annual accounts on behalf of SET for submission to an independent accountant, SET Executive Committee and Trustees and the formal end of year returns to the Charity Commission. 4. Work with the APD, TPDs, GP Training Programme Manager and Medical Staffing for the lead employer in the organisation and delivery of a GP training specific induction for the new trainee intake each August and those going in to their final year in General Practice. 5. To be the first point of contact for trainees and any queries relating to the GP Training Programme and GP Medical Education. Supporting trainees in difficulty and understanding the support mechanisms in place and how to deal with difficult situations and conversations. 6. To coordinate the administration associated with the annual Quality Assurance Panel for GP training involving collation of quality assurance data from various sources, analysis of the same and production of reports to support and inform the Quality Panel.
