Job Responsibility:

Reporting

The Estate Administrator will report directly to the Estate Manager, but will work alongside the Assistant Estate Manager and all heads of department.

Responsibilities

The individual elements of the role will include, but are not limited to the following:-

Health & Safety

· To assist in all aspects of Health and Safety on behalf of the Estate, including the implementation of a robust policy, the management of any third-party contractors and all compliance related staff training.

· To attend all statutory H&S meetings and assist in planning and record keeping for all statutory testing and Fire Risk Assessments etc.

· To update and circulate the H&S policy documents as instructed by the Estate Manager/Department Heads in conjunction with our retained Health & Safety representatives

· Work closely with relevant Health & Safety Consultant/s and contractors to perform the tasks required to achieve compliance

· Liaise and Report any accidents/incidents to the Estate Manager

· Assist in the preparation of any accident investigation

· Maintain statutory compliance for licensing, Environment waste licences and fire arms

Staff Training

· To assist in arranging any compliance/job related training for the entire team using external and online training providers as instructed by the Estate Manager/HR/Departmental Heads. Training will be job specific but which may include but is not limited to Health & Safety at Work, Manual Handling, COSHH, PAT, GDPR, Legionella, Data Protection, Risk Assessment, Working at Height, Ladder Training, Food Hygiene, HACCP, Allergen Training, Fire Marshalls First Aid, Safe Guarding, DBS, NWSMP, Pool Rescue, SIA licensing, CCTV, Door Safe, PA1/6, Tractor, Abrasive Wheels, 4x4, Chainsaw, Stimming, Chipper etc.

· To ensure that all H&S/job specific required certification is kept up to date for all departments.

· To implement, update and maintain the company training matrix and records of all staff certification including renewal of all certification for the individual at the given time.

Corporate Fleet

· Ensure all corporate fleet are taxed, Mot'd, insured and serviced on behalf of the business to include motorised boats, mowers and ride on machinery.

· Ensure all staff driving licences are up to date

· Ensure that all vehicle damages are recorded with repairs swiftly undertaken

· Ensure that company vehicles are kept clean and presentable at all times

· Manage all corporate vehicle keys

· Manage all corporate dash cams and footage in accordance with the company policy.

· Implement and maintain as necessary the installation of Dash Cams/Lightfoot technology

· Ensure all corporate Fleet has Corporate livery

· Manage all corporate fuel cards across all departments

· Manage all electric charging cards across all departments

Building Compliance

· To ensure that all common buildings including the pool spa and the apartments are compliant with current legislation, to include but is not limited to, Fire Risk Assessments, Legionella Testing, Pat Testing, Landlords Gas Safety Certificates, Lifts, Fire Alarms, Alarms, CCTV

· To ensure that all company owned properties are compliant with current legislation, to include but is not limited to, Fire Risk Assessments, Legionella Testing, Pat Testing, Landlords Gas Safety Certificates.

· To ensure that all third party rental properties managed by the company are compliant with current legislation, to include but is not limited to, Fire Risk Assessments, Legionella Testing, Pat Testing, Landlords Gas Safety Certificates.

COSHH

· To ensure that all chemicals are stored Correctly

· To ensure that all chemicals used are documented with all COSHH assessments printed and filed with a COSHH Risk Assessment in the relevant section of the H&S Policy.

General Administration

· To assist the estate team with all departmental administration tasks

· To attend Quarterly meetings with the Lakes Residents Association as required

· To assist with the annual Lakes Residents Association

· To assist with the organisation and running of all staff and community events

Communication

· To liaise with and be available to residents and guests as necessary regarding communal matters, H&S related risks such as flooding or water access and construction related matters.

Hours of Work

· Full time - 37.5 hours per week.

Holiday entitlement

· 25 Days annual leave plus all statutory Holidays
