KWS Front-of-House/Concierge Role Reporting to the Facilities Manager Working with a site-based team of three others (FM, Office Manager and Facilities Administrator), and supported by the UK Facilities Team. You will support both internal and external customers. First and foremost, you will provide an excellent experience for our clients, suppliers and colleagues based in and visiting from other offices around the world. You will also be a cornerstone in maintaining and innovating an inviting, inspiring, collaborative and hard-working space for all. Site-based role. M-F 08:00-17:00

Working at NTT

Main duties

Monitoring reception inbox for bookings, hospitality, and facilities requests, responding to queries in a timely manner.

Coordinating all aspects of meeting and event requests for successful outcomes - liaising with customers to assess their needs, booking meeting spaces, arranging hospitality/catering, managing the visitor register, issuing guest passes.

Setting-up and assisting with AV in meeting rooms and for events, coordinating with the IT team as necessary.

Maintaining clean, tidy and inviting appearance of customer-facing areas.

Supporting Facilities team in day-to-day duties, e.g. receiving and sending post and couriers, maintaining stocks and supplies of hospitality consumables, stationery.

Supporting the Facilities Manager and Office Manager by keeping up to date and accurate records of various office activities, e.g. reporting from desk-booking app, access system, POs.

Supporting the FM, OM and FA keeping staff ‘hubs', coffee machines and similar appliances clean, stocked and in good working order.

Working with the landlord's reception, maintenance, and security to ensure smooth operation of the premises and optimum experience for our customers.

Supporting the team in managing access system and cards, assisting FM with auditing and ensuring integrity of physical security arrangements.

Assisting the team with onboardings and offboardings.

Assisting FM with fire safety and first aider coordination, and other Health & Safety objectives as required from time-to-time.

Experience, Skills & Qualifications

Organised and able to prioritise conflicting demands

Friendly, well-presented, well-mannered

Clear spoken and written English

Experience with receiving visitors from around the world beneficial

Concierge or facilities experience desired

O365 skills essential
