Job Responsibility:

You will provide a comprehensive secretarial and administrative support to the maternity safeguarding services and Antenatal screening services to enable them to function effectively and efficiently. This entails providing secretarial support and coordination of the duties of the Safeguarding Team, often dealing with sensitive and distressing information in relation to safeguarding children, including minutes from safeguarding meetings. You will be responsible is to collate and ensure the bloodspots are correctly completed and send to the labs following due diligence via recorded mail. This therefore needs documenting and adding to weighting as exposure to blood products. Part of your role will include exposure to distressing information regarding fetal anomalies, termination of pregnancy (TOP) and Miscarriages. Providing administrative support for the Educational Lead and MSW's, Public Health Midwife Lead, Smoking MSW's, Clinical Governance, Transformation Midwives, Breastfeeding Midwives and MSW. Office based: Requirement to work at a desk for extended periods. Exposure to unpleasant working conditions or hazard is rare. To develop and maintain databases which support the community, clinical governance, ANNB and safeguarding agenda Take and disseminate minutes for a variety of meetings that are current, accurate and timely. To assist in the development, implementation and monitoring of the safeguarding system Please note: Interviews to be held on the 3rd July 2024 As a member of the safeguarding team the post holder will be required to communicate clearly and effectively with staff and manager at all levels within the organization . To liaise with internal and external colleagues to ensure enquiries are dealt with in a polite and efficient manner. To assist in the development, implementation and monitoring of the safeguarding system To assist the Maternity Services in maintaining databases, receiving and distributing information, and providing administrative support to the community midwifery teams the maternity safeguarding team, maternity antenatal and Newborn screening programmes , Newborn Infant Physical Examination, Infectious diseases in pregnancy, Haemoglobinopathies and Fetal Anomaly). The post holder will facilitate the admin functions of the Safeguarding Team; to manage information relating to all child protection concerns, with guidance from the Safeguarding Lead Additionally, the post holder will provide administrative support to the clinical team in the Safeguarding Team. This will include day-to-day organisation of systems to ensure the smooth running of the office, diary and post management, taking and typing minutes of safeguarding meetings and supervision sessions and other clerical duties The post holder will be responsible for managing data received from the police ensuring this is sent out to staff across the health community on a daily basis ยท About your new team and department The Safeguarding Administrator is an exciting, demanding and fast-paced role that allows the practitioner to work with a level of autonomy; managing workload demands that arise, prioritising workload and meetings etc, with consideration of the unpredictable nature of safeguarding children services. Responsibility and accountability
  • To act as information liaison between TSDFT staff and the local safeguarding children partnerships
  • To follow practice within the safeguarding admin processes that meet the requirements of storing medical records, filing and use of tracering system in line with health record systems
  • Monitor compliance with safeguarding supervision for exceptions and data quality - all information to be reported to the Safeguarding Lead and Named Midwife
  • To support Trust staff with administration / formatting of court reports
  • To extract data from the databases as required. In relation to the ANNB programme:
  • To provide data to the Screening Co-Ordinator for the quarterly KPI's and annual report as well as provide daily analysis of impended breaches on Failsafe Systems and to action these appropriately to meet service specifications
  • To arrange meetings, take, transcribe and distribute minutes electronically accurate and timely
  • To obtain notes using search facilities, ensuring that health records are managed and meet the Trust's standards for safe transfer and storage
  • To ensure that all result/reports/correspondence are filed in the case notes in line with Health Records standards
  • To answer telephone queries in an efficient manner and ensure appropriate follow through using initiative to deal with routine enquiries
  • To support the Screening Co-Ordinator to meet the targets as defined by the NHS screening programme publications and alert the Screening Co-Ordinator of impending breaches with identified remedial actions required
  • To liaise closely with the ANNB Screening Co-Ordinator, Postnatal ward, antenatal clinic and community midwives and paediatricians to ensure the smooth running of the service
  • To provide administrative support to the Specialist Midwives and Community Teams
  • To enter all ANNB screening patients information, examinations and results and appointments accurately onto the ANNB screening Database
  • To respond (if appropriate) or redirects all screening/safeguarding children mail ensuring this is dealt with in a timely manner
  • To expediently highlight in person any abnormal results following investigative treatments, highlighting them in person to the ANNB screening database
  • To type correspondence to GPS/referrers and patients regarding appointments, results and follow up care
  • This position requires empathy and tact when dealing with patients that may be angry or upset regarding any aspect of their care
  • Ability to work independently and to plan and organise meetings
  • To plan and use own time effectively
  • To undertake administration associated with arranging meeting rooms, including booking venues
  • Carry out general administrative and clerical functions including photocopying, filing, and faxing as required

  • To ensure that an efficient and effective secretarial and administrative support service is provided to the safeguarding team.
  • The post holder will book rooms and dates for meetings
  • To provide administrative support for audit processes completed by the Safeguarding Team
  • To provide cover for other administrators within the department, as required
  • To work as part of the administration and clerical team providing cover and support to colleagues within the Women's health services during periods of annual leave or sickness to ensure continuous provision of service.
  • To train new members of administrative staff on current systems and processes across the trust
Information technology and administrative duties
  • Completion of information gathering and typing of complex sensitive chronology reports, including medical terminology, which are necessary for child protection work, under the direction and guidance of Safeguarding Lead
  • To manage the processes for alerting relevant practitioners both internal and external where pregnant women go missing
  • Support to / Safeguarding lead in production of PowerPoint presentations for training / meeting purposes
  • To use and maintain current systems relying on information technology and to assist with implementation and development of new systems and information
  • To ensure the accurate data entry of all safeguarding activity and to provide the necessary information for the supply of required reports
Responsibility for research and development
  • To contribute to the development of Standard Operating Procedures and Policies, their implementation and continual review
  • Monitor compliance with safeguarding supervision for exceptions and data quality - all information to be reported to the Safeguarding Lead
