Job Responsibility:
Walker Singleton are one of the leading independent Chartered Surveyors and Estate Agencies in the North of England. We are currently looking for an Accounts & Service Charge Administrator to join our offices in Halifax.
Hours:
Monday-Friday 9:00-17:00 with a 30 minute unpaid lunch
Overall objective:
To support the Accounts function within the Commercial Property Management Department.
Assisting with the efficient running of the department and responsibilities will include but are not limited to liaising with various internal and external stakeholders relating to queries regarding tenancy payments, supplier invoices, account arrears.
Key Responsibilities and Duties:
Property Management:
- Ensure you adhere to processes and procedures in line with data protection and Anti-money laundering requirements
- Assisting with the processing all Contractor invoices in a timely manner
- Chasing tenant arrears and reporting findings to Director and Property Managers
- Taking credit card payments in line with company procedures
- Supporting Property Managers/ Director with Client Statement Distributions
- Supporting the production of commercial services charges
- Conducting full review of service charge expenditure and ensuring all posting errors are identified and corrected and posting journal transfers, accruals and prepayments as required
- Maintaining the general ledger and completing reconciliations coinciding with the year-end for the service charge function, ensuring all imbalances are identified and corrected
- Working with Property Managers to ensure that accounts are completed with a high degree of accuracy in line with the accounts deadlines
- Producing balancing schedules to apportion service charge expenditure on the correct basis with reference to income billed on account, occupancy changes during the period and tenant caps
- Completing variance analysis and producing final reports for the Property Managers approval
- Completing the closure of the final service charge reconciliation at year end/property termination, ensuring this is completed in line with the management agreement
- Providing the closing accounts, resolving any queries and clearing all ledger balances
- Acting as a key liaison with internal stakeholders on service charge matters, to resolve tenant and client queries arising following the completion of the service charge accounts
- Sending out all tenancy invoices in a timely manner and diarising due dates
- Diarising and chasing payments due
- Maintaining and updating specialist databases
- Supporting and providing holiday/absence cover for the Property Management and Rent Account Manager (RAM) & Credit Controller
- Providing regular updates to RAM Credit Controller, Property Managers and Director
Key Skills:
- Experience working within Property Accounts and knowledge of service charges
- Excellent attention to detail with an ability to identify errors
- Good organisational and time-management abilities with a proven track record of meeting deadlines
- Strong numerical skills
- Good verbal and written communication skills
- Be confident in handling the full accounts process
- Show willingness to grow and develop into the role
- Self-motivated and able to use initiative to approach challenges
- Have a flexible approach to day-to-day tasks
- Strong understanding of Excel and other Microsoft Office applications
- Knowledge of service charge budgeting and accounting procedures for commercial property advantageous

Security:
Ensure full adherence to the company's Data Security Policy.
Assume personal responsibility for personal data (client and employee) you control/manage, to ensure it is securely held and properly utilised in accordance with the principles of the General Data Protection Regulation (GDPR) and the Data Protection Act 2018.
Report any potential breaches, including weaknesses in current systems, to a Partner.
