Milestone Infrastructure is currently looking to recruit a Office Administrator / Customer liaison officer to work in our Projects Team on our Cambridgeshire Contract. In this position, you will be part of Milestone Infrastructure's Projects Sector team who are responsible for the delivery of a variety of civil engineering projects.
Milestone Infrastructure (formally Skanska Infrastructure Services) have an extensive background of delivering civil engineering projects for local authority and private clients. Over time, we have seen the value, complexity and scope of these projects increase and become more diverse. You will be joining a project delivery team to deliver projects with interfaces including, Cambridgeshire's Network Management team, Greater Cambridgeshire Partnership, Cambridgeshire City Council and many other key local and county wide stakeholders.
Since 2017, Milestone Infrastructure have been delivering a Term Maintenance Contract (TMC) with Cambridgeshire County Council (CCC) to carry out highway's maintenance and improvement schemes on their network. The contract, which continues to 2027, includes the delivery of individual highway projects between the values of £1.5m to £15m.
This is currently a dual role - Office Administrator and Customer Liaison officer combined.
As the Office Administrator your duties & responsibilities will be:
- Document management, Including GRN returns
- Management of office facilities - Cleaning, maintenance, meeting room bookings
- Management of staffing calendar - Annual leave, training
- Management of training matrix and working with Train with us co-ordinators to assist with bookings and logistics
- Ordering and monitoring of Office related supplies - Including cost tracking, PPE and IT issue registers
- Meeting minutes taker - Client meetings and internal as required
- Street works/NRSWA permit management - Submitting Road space permits and providing updates, maintaining road space tracker. This will be supported by other project team members, and training provided.
- Organising social events and involvement with charity/social value opportunities *Included in CLO roles and responsibilities
- Reporting to Project manager(s) but working closely with whole project delivery team
As the CLO your duties & responsibilities will be:
- Act as point of liaison between local businesses / community and the project to promote project activities
- Arrange communication to local businesses at start of project, and where appropriate during the project term
- Manage and respond to any enquiries resulting from local business communications
- Own and manage the inbox for the project email addresses
- Deal with any enquiries and complaints from Members of the Public and resolve at the earliest opportunity, including working with other project staff to obtain the required information or resolution
- Meet with MOP's and client on site to resolve issues, if required
- Liaise with Cambridgeshire County Council and Greater Cambridge Partnership (Communications team) to ensure and public information about the project is distributed promptly and clearly through the correct channels.
- Produce monthly comms updates letter for client comms team and assist with internal project update letters.
- Work closely with and attend weekly meetings with Client Communications team and project managers
- Work with Project Manager / Site Agent to ensure any changes of site / TM layout during works phases are communicated to Street works team and CCC/GCP Comms where appropriate.
- Assist with resolution of any red / green insurance claims on the project received from members of the public
- Research, enquire, plan and manage local Social value work opportunities in areas directly affected by projects/schemes. Working with Social value Manager, project team and client to identify local charities, school and volunteer work opportunities.
- Reporting to Project manager(s) but working closely with whole project delivery team
Skills and Qualifications
- Ideally the candidate would have experience within the Highways industry / Civil engineering / Local government sectors
- Good communication and organisational skills
- Good written English skills (Grammar) - Preferably min Grade C in English GSCE or equivalent (not essential)
- IT - Experience and proficiency in the use of Microsoft 365 - Word, Excel, Outlook, PowerPoint etc
- Full UK driving license
- Ideally DBS checked to enable working closely with schools (not essential)
