Job Description

The Role

This is an exciting opportunity to join a highly successful events team and become part of a fast growth global events business. The role will be responsible for supporting the Event Operations team, coordinating and providing administrative support across all aspects of event operations, including planning, logistics and onsite delivery, ensuring seamless production for our Fastmarkets Events. As such you will need to be highly organised with strong project management skills, as you will be responsible for liaising with multiple delegates, speakers and partners, as well as managing the operational logistics for the events you are supporting. You will also be a strong team player with good communication skills, able to work successfully across multiple stakeholders internally and externally, as well as enjoy being customer facing online and in-person. The role will also, where required, involve attending events in-person to support onsite delivery and as such will involve international travel.

PRINCIPLE ACCOUNTABILITIES

  • Act as the operational support pre-event and on-site, co-ordinating with the project team to ensure the smooth running of the event.

  • Sourcing, negotiating and liaising with suppliers - including venues, audio-visual, documentation printing, signage, and on-site support staff.

  • Act as point of contact for suppliers for all pre-event and onsite logistics.

  • Management and pre-event communication for all meeting room inventory sold to sponsors.

  • Ensure delivery and fulfilment of all sponsorship and exhibitor packages as sold by the sales team such as stands, branding, branded items, features etc.

  • Contribute to regular project meetings for each event to ensure smooth communication within the team and aid the professional delivery of our events to external stakeholders.

  • Work closely with designers to produce required on site branding, signing off final designs in consultation with the wider project team and in line with print deadlines.

  • Manage internal and external systems to support delivery of the events including: our registration platform, event app and all other digitals platforms such as Swapcard, Cvent and Anaplan.

  • Work with the wider events team to share, learn and help push event experiences forward.

KNOWLEDGE, EXPERIENCE AND SKILLS

  • Self-motivated professional with experience in a fast-paced environment

  • Proven experience as an Events Coordinator is desired.

  • Strong written and verbal communication skills.

  • Experience in direct customer interface/service roles, confident and enjoys dealing with people and queries.

  • Fluent in English - verbal and written communication.

  • Very proficient with computers, spreadsheets, word processing, on-line cloud systems, and project management tools.

  • Reliable with working alone and virtually.

  • Capable of self-managed schedule to meet project deadlines.

  • Excellent organizational and time management skills

  • Strong attention to detail and problem-solving abilities

  • Exceptional communication and interpersonal skills

  • Proficient in event planning software and Microsoft Office Suite

  • Ability to work independently and as part of a team

  • Flexibility to work evenings, weekends, and to travel internationally
