Job Purpose:

The Warehouse Administrator is responsible for overseeing and coordinating the day-to-day administrative functions of the warehouse. This role includes managing inventory records, processing orders, overseeing shipping and receiving activities, and ensuring compliance with safety standards. The Warehouse Administrator plays a crucial role in maintaining the efficiency and organization of the warehouse operations.

Hours of Work 07:30-16:30

Essential Duties and Responsibilities:

Inventory Management:

  • Maintain accurate and up-to-date inventory records.
  • Conduct regular inventory audits and cycle counts.

Order Processing:

  • Process incoming and outgoing orders accurately and efficiently.
  • Prepare shipping documents, including packing lists, invoices, and shipping labels.
  • Coordinate with carriers and logistics providers to schedule pickups and deliveries.
  • Track shipments and resolve any issues related to delayed or lost shipments.

Warehouse Coordination:

  • Oversee the receipt, storage, and distribution of goods.
  • Ensure that all incoming and outgoing shipments are properly documented.
  • Organize and maintain warehouse layout to optimise space utilisation.
  • Implement and enforce warehouse policies and procedures.

Data Management and Reporting:

  • Maintain accurate records of warehouse activities, including receipts, shipments, and inventory movements.
  • Prepare and submit regular reports on inventory levels, order status, and warehouse performance.
  • Utilise warehouse management systems (WMS) and other software to manage data effectively.

Safety and Compliance:

  • Ensure compliance with all safety regulations and company policies.
  • Conduct regular safety inspections and report any hazards or incidents.
  • Provide training to warehouse staff on safety protocols and proper handling of materials. ·
  • Maintain records of safety training and certifications.

Customer Service: ·

  • Respond to inquiries from customers and internal departments regarding order status and inventory availability. ·
  • Resolve any issues or discrepancies related to orders and shipments. ·
  • Provide excellent customer service and build positive relationships with clients and vendors

Experience Requirements:

  • Proven working experience as a Warehouse Operations.
  • Proficiency in inventory software, warehouse systems and CRM's.
  • Familiarity with modern warehousing practices and methods.
  • Good organizational and time management skills.
  • An understanding of Quality requirements and the importance of customer focus.

Qualifications Requirements

  • Must be proficient in the use of MS Office and other specified software
  • Warehouse experience: 1 year (preferred).
  • Current Forklift license (desirable not essential).
  • Excellent Client communications skills with the ability to present information clearly.

Additional Requirements:

  • Qualified to GCSE level in English and Math's (Or Equivalent).
  • High level of honesty and integrity.
  • You will from time to time be required to undertake other duties of a similar nature as reasonably required by line manager .
