About us Full Time Role Hybrid Working (3 days office, 2 days home) Due to Apogee's strategic growth, an exciting opportunity has emerged within our Apogee Global Services PMO team. We are seeking a skilled and organised Project Coordinator to assist Project Managers in effectively delivering projects to our high company standards. This role is ideal for a Coordinator eager to advance within the PMO. The Project Coordinator will support Project Managers in ensuring the delivery of top-notch services across all revenue streams through precise and timely administrative activities. Responsibilities range from general project support functions to long-term, project-specific administrative duties spanning multiple work streams across Apogee, our in-country suppliers, and global clients. This is a full-time position based in the office, offering flexibility in working arrangements. The Project Coordinator will primarily focus on planning and coordinating installations worldwide, collaborating closely with Project Managers and in-country suppliers to meet business-established SLAs. Apogee prioritises employee development, providing opportunities for progression within the Project Management field. We support your journey with essential training for certifications such as Prince 2 and ITIL foundation. Key Responsibilities Include: Collaborating with project leads to establish project structures using standardised methodologies and maintaining them throughout. Ensuring adherence to all project-related processes, processing internal systems data, and maintaining cost tracking reports. Managing orders with in-country suppliers while aligning with customer installation requirements. Coordinating smaller ad hoc projects as needed. Facilitating approval processes for commercial agreements and service contracts with senior management before purchase orders are raised. Compiling and distributing progress reports to update key internal and external stakeholders on deployment progress. Coordinating resource allocation across different business functions. Updating the service management system to accurately maintain asset management data. Monitoring and updating RAID (Risks, Assumptions, Issues, Dependencies) actions to ensure timely completion. Providing note-taking support during weekly project updates and other meetings as required. Supporting the business projects team in achieving project targets through day-to-day duties. Providing administrative support for individual projects as required. Proactively managing personal development to enhance performance and career opportunities. Addressing customer queries and resolving issues through direct communication. About you Proven experience in project coordination or administrative roles. Demonstrable knowledge of MS Office systems. Essential Microsoft Excel skills, with full training provided for applicants with basic knowledge. Basic formatting capabilities, data validation, table/chart creation and editing, and conditional formatting. Proficiency with formulas such as SUM, COUNT, COUNTIF, SUMIF, VLOOKUP, etc. Comfortable working in a fast-paced environment, managing personal responsibilities, and influencing others. Hands-on, level-headed, and pragmatic approach. Excellent communication skills. High attention to detail with a strong emphasis on accuracy. Ability to prioritise workload and meet strict deadlines. Capable of working as part of a team, taking direction, and collaborating effectively. Flexible and adaptable.
