Job Responsibility:

Job OverviewThe Evaluation Coordinator is a new role within the GLAM Evaluation and Data Analysis Team working across the Gardens, Libraries and Museums of the University of Oxford. In liaison with the Evaluation Officer, the role-holder will play a key part in collecting visitor data to support evidence-based decision-making across GLAM.

Visitor data is collected in different forms including facilitated and unfacilitated surveys, interviews, observation surveys and focus groups. This is a public-facing role that requires excellent interpersonal skills and confidence in communicating with a diverse range of people

Full training will be given for the job role by the Evaluation Officer, with the opportunity to learn industry standard evaluation techniques.

Responsibilities

  • Supporting the GLAM-wide programme of evaluation training workshops by providing guidance and training for staff, students and volunteers.
  • Organising support from volunteers and Divisional Office colleagues to collect visitor surveys.
  • Liaising with the GLAM Departments to schedule and coordinate visitor survey shifts.
  • Managing their own schedule of evaluation activities to support colleagues with evaluation across GLAM.
  • Supporting the annual Arts Council England reporting requirements by collecting a minimum of 100 in-person Illuminate visitor surveys at each GLAM site.
  • Having a hands-on approach to undertaking evaluation, which will include designing and undertaking surveys with visitors to the seven GLAM sites, facilitating focus groups, carrying out observations (people-watching) and interviews.
  • Assisting with the design, deployment and monitoring of surveys on kiosks (stationary screens) and tablets.
  • Creating new observation maps (gallery maps for recording visitor movements) to expand insights into visitor behaviour.
  • Monitoring survey sample sizes, data quality and question standardisation to ensure that data is reliable and consistent across and between the GLAM Departments.
  • Inputting and analysing visitor data in Excel to create visuals including graphs and heatmaps for reporting.
  • Thematically coding qualitative survey responses to identify response patterns in survey data.
  • Working with the Evaluation Officer to produce reports summarising data collected and insights gained.
  • Providing technical and administrative support to the rest of the work of the Evaluation & Data Analysis unit, especially in collating and analysing data.
  • Working with the Evaluation Officer to identify gaps and biases in the collected data and setting out to improve data quality of the surveys.
  • Ensuring that best practice and guidance documentation for visitor evaluation is kept up to date.

Essential selection criteria

  • Demonstrable ability to organise schedules and make administrative arrangements necessary to coordinate survey shifts.
  • Experience of working in a customer-facing role with people from diverse backgrounds and excellent interpersonal and communication skills.
  • The ability to work independently with minimum supervision, a willingness to resolve unexpected or difficult situations, and knowing when to refer issues to others.
  • The ability to organise own workload and to work to deadlines.
  • Excellent administrative and organisational skills; attention to detail and a methodical approach to work.
  • Excellent IT office skills including word processing, spreadsheets and use of electronic mail.
  • Experience of handling sensitive and personal information, including a basic understanding of current legislation (e.g GDPR & data protection).

Desirable selection criteria

  • Experience of visitor evaluation (e.g. collecting surveys and conducting interviews).
  • Experience of working within the cultural sector.
  • Strong numeracy skills and the ability to analyse, synthesise and interpret qualitative and quantitative data and work to a high-level of accuracy.
  • Experience of delivering training.
  • Experience of coordinating and supervising volunteers.
