We are looking for candidates with secretarial and administrative experience. You'll be joining our team in the Committee office in the House of Lords as a Committee Operations Officer. The Committee Office is one of the largest House of Lords offices, supporting over 20 select committees at a time, spanning a wide range of policy areas.

This is a position where you will be working at the heart of Parliament. In this exciting role you will have responsibility for production and circulation of committee papers and reports, the administrative arrangements of committee meetings and travel and maintaining committee records!

This is a fantastic opportunity for someone who enjoys working with a range of internal and external stakeholders. If you have a positive, proactive approach to this, we would love to hear from you. This opportunity is working hybrid with a minimum of 2 days a week onsite on the Parliamentary estate.

You'll be responsible for -

  • Preparing draft Committee papers, including agendas and minutes
  • Liaising with witnesses to ensure arrangements are in place for their attendance, either remotely or in person
  • Booking committee room and/or arranging video conferencing facilities for each committee meeting as appropriate
  • Preparing report front pages and appendices, including those listing Members interests, witnesses and the call for evidence.
  • Liaising with the Communications team regarding committee publications
  • Day to day management of the Committee's email inbox
  • Arranging travel, accommodation and other logistics for any Members and staff travelling.
  • Processing Committee related expenditure including expense claims from Members, witnesses and Specialist advisers
  • Efficiently organising the storage of committee documents on SharePoint

What we're looking for

  • Clear and accurate oral, written and online communication skills
  • Excellent IT skills and experience of using MS Word, Outlook and Excel effectively to produce, format and process documents
  • Strong organisational and time-management skills, and the ability to manage several important or urgent tasks at once
  • The ability to work quickly and independently under pressure while maintaining a high level of accuracy and detail and the ability to respond swiftly and constructively to unforeseen events
  • Experience of working effectively with others as part of a team, demonstrating reliability, a flexible approach to work
  • Strong interpersonal skills, including the ability to build successful relationships with internal and external stakeholders, to represent the Committee Office appropriately to a wide range of people and organisations
