Job Responsibility:

Job Title: Post Administrator Interim

RATE: £15 - £17 per hour (depending on experience)

TYPE: Contract, self-employed

WORKING HOURS: Monday to Friday 9am-5pm, up to 35 hours per week - office based

LOCATION: Bristol, City Centre BS1

REPORTING TO: Operations Director

About the role

We have a new position open for an interim Post Administrator to join Hartley Pensions on our client contact team. You will be joining a friendly team of 8 contact centre administrators and pension administrators.

As a Post Administrator, you will be responsible for managing pensions related post.You will have a critical role in handling our clients pension queries such as change of address, death certificates, ensuring the post has been scanned, logged and passed onto the relevant pensions team.

Do you have experience in:-

  • Managing post
  • Emails, responding to customers or clients via email and confident in writing emails
  • Calls, handling in-bound calls from Clients

Having experience in managing post from clients, managing email queries and handing in-bound calls is essential for this role.

What you'll be doing

Your responsibilities for this role include but not restricted to:

· Managing and taking ownership of pensions related post. Ensuring post is scanned and passed onto the relevant teams in a timely manner. Ensuring the post processes are being managed effectively.

· Responsible for training the team on managing post and creating FAQ's and standard process guide.

· Monitoring the mailbox and passing client queries onto the relevant team or responding where applicable.

· Handling in-bound calls from our Clients. Directing our clients to the appropriate pension team or supporting the client with their pension query.

· Support the pension administration teams with ad hoc projects.

· Support the team's risk and control activities to ensure good client outcomes and risk management culture. Proactively identify any risk within the department and escalates concerns to the Operations Director.

· Maintaining confidentiality and being aware of GDPR regulations.

Skills and experience

To be successful you should be able to demonstrate that you having experiencing in managing post, confident in answering the phone, writing emails and passionate about delivering excellent customer service, organised to meet tight deadlines, have the ability to multi-task, be empathic and resilient. Ideally, we are looking for someone who is able demonstrate their experience in the following areas:

  • Organised approach with the ability to prioritise tasks and workload effectively
  • Communication skills such as responding to clients' emails and answering phone calls
  • Have a collaborative approach to work, willing and able to work with other team members to complete tasks
  • Able to use MS office (Outlook, Word, Excel).
