We're seeking a future team member for the role of Benefits & Wellbeing Delivery Co-Ordinator/Specialist to join our EMEA Benefits & Wellbeing Delivery team . This role is located in Mancheste r, HYBRID. Job Purpose: To assist with providing an effective, accurate and timely benefits and wellbeing delivery service to employees, HR, benefits vendors, consultants, and other third-party stakeholders. The primary focus of the role will be on wellbeing delivery (c. 60%) and remaining on benefits delivery (c. 40%) and general administration. In this role, you'll make an impact in the following ways:Wellbeing Delivery: Co-ordinate the health screens services including liaison with vendor, internal facilities team, employee queries and communication. Support the Flu vaccinations programme across EMEA; liaise and communicate with suppliers, write communication, advertise internally, respond to employee queries. Support the ongoing provision of onsite wellbeing services across the offices and acting as the local point in Manchester. This will include logistic support, advertisement, bookings etc. Support and/or lead on the organisation of regular and ad-hoc wellbeing session/classes including the annual Benefits and Wellbeing Fair. Lead on the regular promotion of wellbeing services and continually review content on internal sources for accuracy. Support and /or lead on the organisation and development of employee support groups such as groups for New Parents, Menopause, Mental Health. Benefits Delivery: Provide support for the day-to-day operation of the UK & Ireland Flexible Benefits arrangements including acting as the point of escalation for the team for complex benefits and pension queries. Support with the annual P11D process including data checking & queries Assist with Flex annual enrolment process including review of the Flex brochure, web text, testing the portal and working closely with the Flex team to ensure enrolment goes smoothly Work closely with our vendors and Flex team to ensure our membership data for our benefit programmes are correct and help resolve any queries Support the management and troubleshooting all outsourced third-party activity such as: Flex administration, death-in-service claims, long-term disability claims, auto enrolment activity, interns auto enrolment process, pension contributions and pension allowances Work with vendor and/or external broker/consultant to ensure any required medical underwriting is completed by our employees PILOB calculations General: Managing team inboxes & People Team Portal including responding to queries and escalating to team members as required for further guidance. Ensure queries are dealt with quickly and efficiently and within the required SLAs Working with People Solutions Team to feedback on MyHR queries which can be resolved without escalating, providing training and up to date information to the MyHR team. Assist with the delivery of training and developing guidelines as necessary to People Team colleagues to ensure they are well equipped to manage employees' benefits related queries and administer benefits correctly Adhering to internal Third Party Governance requirements and working with vendors as required Invoice processing across benefits & wellbeing team including management of Purchase Orders (PO). Reviewing and updating Desk Top Processes To be successful in this role, we're seeking the following: Experience of working in a HR role providing administrative and advisory support. Ideally knowledge and experience of managing employee benefit and wellbeing queries. Excellent written and verbal communications skills with strong attention to detail. Ability to communicate with employees at all levels of seniority and respond to confidential queries. Competent use of Word, Excel and PowerPoint including experience of producing letters, updating policy documents, maintaining data in excel sheets, creating PowerPoint presentations. Ideally able to use and create basic formulas in excel such as conditional formatting, v-look ups, data validation etc. Experience of using HR Systems to review and analyse employee data including editing data as needed Strong organisational skills, working effectively to deadlines and project plans. Experience of managing multiple deadlines both independently and as part of a team. Ability to build effective working relationships. Ideally experienced with maintaining relationships with third party outsourced service providers/vendors and ensuring delivery to agreed SLA's Educated to degree level or equivalent level of experience At BNY, our culture speaks for itself.
