Job Responsibility:
Harris House is an intensive programme that offers family support to those identified to be in need by the Children with Disabilities service within Birmingham.
The service, commissioned by Birmingham Children's Trust, is designed to provide parents of children with disabilities the education, skills and abilities to improve family functioning.
A completed referral form and child assessment is sent by a social worker to Barnardo's Harris House service. There is a team of experienced project workers who will assess the individual needs of the family and work over a 6-9 month period to provide parent education and support.
Experience/Skills
- Proven office experience.
- Proven experience of using IT packages including word processing, spread sheets, databases, Windows applications.
- Experience of dealing with members of the public and other agencies.
- Well developed numeracy and literacy skills
- Substantial experience of IT systems including the use of word, Excel and database systems.
- Substantial experience of general office procedures.
- Substantial experience of data inputting, maintaining records
- Able to maintain strict confidentiality and work within data protection guidelines.
- Able to work effectively as a member of a team and on own initiative.
- Able to work in a thorough and systematic way, paying attention to detail.
- Able to communicate effectively with staff, young people and visitors.
- Able to deal with constant interruptions from visitors, staff and young people.
- Able to prioritise own workload and meet tight deadlines.
Main duties & responsibilities include:
- To maintain appropriate record systems (e.g. children's case files, family files, volunteer files, management and administrative records). Also to maintain the Procedure Guide, Staff Directory and Staff Notes as required.
- To assist in the production of regular statistics/returns/forms on a range of topics.
- To provide or assist in providing telephone and reception arrangements which are welcoming to service users/members of the public and other visitors. This involves applying sensitive listening skills and providing a calm influence, particularly where users are agitated, possibly angry and confused - and will require accurate feedback of any remarks or actions to appropriate, more senior, staff where the post holder has cause for concern.
- In the absence of the Administrator, to open and close the building, ensuring that all windows and doors are secured.
- To provide other general administrative support as designated by the Service/ Office Administrator and Children's Services Manager/Administrative manager/ other manager as appropriate.
- Overseeing bookings for meeting rooms and dealing with any queries that may arise
- Dealing with incoming phone calls/voicemails/emails and responding accordingly
- Annual Leave entitlement for full-time employees is 26 days per annum, increasing to 29 days per annum, after 5 years Barnardo's service. Those working less than full time are entitled to the same level of holiday pro rata.
- Option to purchase up to 5 additional days of annual leave (this is reviewed annually).
