Job Title: Property Services Scheduler
Contract Type: Permanent
Salary: £29,365 - £32,455 per annum
Working Hours: 35 per week
Working Pattern: Monday to Friday
Location: Arlington, London - Hybrid

The difference you will make as a Property Services Scheduler
The role plays a crucial role in coordinating and managing the scheduling of repairs, processing variations, communicating with customers and ensuring timely completion of tasks related to damp and mould remediation. The role involves liaising with various stakeholders including customers, operational teams, surveyors and contractors to facilitate efficient service delivery and maintain accurate documentation of all activities.

Role Profile
1 . Order Management:
- Raise orders for damp and mould repairs based on customer requests and surveyor recommendations.
- Process and approve variations to orders as required, ensuring adherence to company policies and procedures.
2. Scheduling and Coordination:
- Schedule repairs and appointments with customers, taking into account availability of operational teams, surveyors, and contractors.
- Assign works to appropriate personnel based on skills, availability, and location.
- Reschedule any unsuccessful repairs or access requirements promptly, ensuring minimal disruption to customers.
3. Programme Management:
- Maintain a planned programme of reviews and follow-ups on ongoing jobs to track progress and ensure timely completion.
- Monitor and manage job statuses to ensure adherence to set time frames and parameters.
- Excellent communication skills, both verbal and written, with the ability to interact professionally with customers and internal/external stakeholders.
4. Communication and Customer Service:
- Communicate with customers to book appointments, provide updates on repair schedules, and address any concerns or queries.
- Provide clear instructions and information to operational teams, surveyors, and contractors to facilitate smooth service delivery.
5. Documentation and Record-Keeping:
- Maintain accurate and concise records, reports, photographs, and communication logs related to job orders, repairs, complaints, and responses.
Ensure tracking systems are kept up-to-date at all times to provide visibility into job progress and performance metrics.

Knowledge, Skills and Experience
Essential
- Proven experience in a scheduling or coordination role, preferably in a construction, maintenance, or property management environment.
- Strong organisational and multitasking abilities, with the capacity to manage multiple priorities and deadlines effectively.
- Proficiency in using scheduling software, databases, and Microsoft Office Suite.
- Attention to detail and accuracy in documentation and record-keeping.
- Problem-solving skills and the ability to resolve issues and conflicts efficiently.
- Knowledge of health and safety regulations and compliance standards relevant to repair and maintenance works is advantageous
