Job Responsibility:
ABOUT THE ROLE:
Working within a small team, the UK Shipping Administration Coordinator is responsible for liaising with UK freight companies and relevant internal teams.
You will gather and collate information for non-conformance, respond to customer queries and effectively problem solve to resolve any issues. You will be responsible for the day-to-day UK administration process for specific customers. This will include ensuring records are up to date and ensuring that all administrative processes work effectively.
RESPONSIBILITIES:
· Build and maintain excellent working relationships with freight companies and UK customers, acting as first point of contact for this customer group.
· Carry out office administrative activities and operations to secure efficiency and compliance to Company policies.
· Work closely with warehouse and UK Shipping team to ensure shipments are booked in a timely manner, shipment progress records are maintained, and relevant documents are provided to the freight company and customer.
· Ensure deadlines are met, influence as required.
· Liaise with UK sales representatives effectively to ensure customers are informed of product movement and timescales for delivery.
· Investigate instances of possible non-compliance collating relevant information in order to challenge or accept fines issued by customers.
· Collate relevant information about customer and carrier KPIs in response to requests or in preparation for contracts and contract reviews.
· Operate a robust systematic approach for letters of credit and checking invoices, raising invoice discrepancies with carriers directly for correction, and to ensure minimal errors.
· Keep databases in check and update them regularly.
· Carry out relevant administrative and data collation tasks and share information and escalate issues as appropriate.
ABOUT YOU:
· GCSE Level 5 or above (GCSE grade A-C) in English and Maths or relevant work experience, NVQ Level 2 equivalent.
· Excellent attention to detail and ability to work with consistent high standards of accuracy.
· Strong organisational and time management skills
· Ability to work under pressure and be results driven.
· Strong IT skills, including Word, Outlook, Excel, and PowerPoint. Use of MRP/ERP desirable
· Highly motivated with resilience and tenacity
Job Types: Full-time, Permanent
Pay: £27,194.00 per year
