Summary
Long Ashton Parish Council is currently recruiting for the position of Administration and Committees Officer. This role plays a crucial part in supporting the Parish Council Committees and Working Groups, particularly focusing on the Environment and Planning committees. The Administration and Committees Officer will provide administrative assistance, help coordinate meetings, and ensure the efficient functioning of council operations. Additionally, the role involves the management and administration of the burial ground, overseeing burial and cremation processes, and maintaining accurate burial records.
Key responsibilities
- Collaborate with and under the guidance of the Clerk to familiarise oneself with the council's operations and procedures.
- Provide direct support to the Clerk as required, assisting in various administrative tasks.
- Work with the Clerk to prepare reports, agendas, and minutes for council committees and working groups, ensuring accuracy and timeliness.
- Attend committee meetings, as directed, contributing to discussions and recording minutes.
- Receive and manage correspondence and documents on behalf of the Council, promptly addressing queries or escalating issues to the Clerk as appropriate.
- Administer cemetery affairs, including burial and cremation processes, while maintaining accurate burial records using Pear Technology Grave Mapping System.
- Staff the Council Office, addressing public inquiries courteously and efficiently during agreed-upon hours.
- Ensure Council noticeboards are kept current and informative, reflecting the latest announcements and information.
- Handle general office administration tasks such as responding to emails and phone calls, providing information to the public, and relaying messages promptly.
- Participate in relevant training courses to enhance job knowledge and skills.
- Undertake any additional duties as delegated by the Clerk, contributing to the smooth operation of council activities.
- Support Long Ashton Parish Council in delivering Council meetings, including Committees and sub-committee groups.
- Create and post agendas, prepare schedules, and papers for Committees and Working Groups as applicable.
- Attend and produce minutes for each meeting, seeking approval and arranging for posting on the website and notice boards.
- Maintaining the council's financial systems including initiating required payments, obtaining quotes and tenders for the delivery of Council services and keeping the accounting systems up to date.
- Prepare rooms for meetings for Committees and Working Group meetings.
- Provide additional secretarial support to the Clerk, including general administration tasks such as filing, photocopying, and typing.
- Assist at specific, calendared events in the Council's calendar.
- Attend training courses as required.
- Represent the Council in a calm, non-confrontational, and courteous manner, ensuring complaints are followed up constructively.
- Work positively with other staff members at the Council.
- Actively manage own training and development.
- Be flexible in terms of covering ad hoc meetings.
- Contribute positively to the appraisal process and follow up on agreed actions.
- Work in accordance with Health & Safety at Work Act 1974 and Council procedures.
- Work in accordance with the Council's Dignity & Diversity Policy.
- Undertake other duties as required within the general scope of the job, as commensurate with the grade/level of responsibility.
Job Types: Part-time, Permanent
Pay: £13.97-£14.95 per hour
