Job Responsibility:
Job title: Global Services Assistant Location: Aldgate, London Contract type: Permanent, 35 hours per week Hybrid: 3 days in the office, 2 days working from home Overview: Global Services is a “Global Underwriting Servicing” team aimed at providing multinational knowledge/insights and co-ordinated policy servicing for our Japanese Corporate clients. As being Regional Hub of the Global Service network of Tokio Marine Group, our core expertise is to handle TMHCC DAMP/Fronted account placements utilising central administrative functions to provide consistent, seamless, high level of service quality across the entire group network. We facilitate and arrange local insurance policies for Multinational Programmes in collaboration with Underwriting and Corporate Business Development teams across all major standard lines of business. We work as dedicated coordinators closely with TM local offices as well as our expanding external Network Partners in European/African region. Job Purpose: To ensure that the department have the necessary support for account handling, information collection and other required operations of the department to establish and maintain a professional level of service to internal/external stakeholders. Key Responsibilities: The role includes responsibility for assisting the Head of Global Services - London (GS-L) and Account Handlers in the below areas: Servicing/Processing multi-territory/multi-platform accounts and DAMP accounts
- Prepare and maintain underwriting files.
- Data entry into applicable underwriting systems in accordance with standard operating practice as appropriate.
- Complete all necessary registers, reports and bordereau required to support the risk placement.
- Carry out administrative support duties including but not limited to transaction processing, completion of bordereaux and facility data.
- Ensure that documents are prepared correctly and in a timely manner and within contract certainty time frame.
Regional Information
- The creation and maintenance of legal, regulatory, tax and local operational information.
- Ensure information is accurate and timely updated, including supervising and providing guidance to the GS-L members.
Quality Control and Assessment
- Ensure data quality and timeliness at London Office
- Involve in assessment of London Office KPIs with respect to GS-L
Reporting
- Ensure that management information is reported in a timely and accurate manner within TM Group and to external organisations.
Others
- Provide support for other TMHCC departments and/or TM group organisations as directed by the head of GS-L as required.
Performance Objectives:
- Ensures allocated incoming work tasks are processed, maintained, and validated accurately, in a timely manner and in accordance with agreed company service standards / KPI s.
- Liaise with Account Handlers and other internal and external colleagues (as deemed necessary) in a professional and courteous manner, always seeking to successfully complete job requirements and responsibilities, whilst striving to professionally resolve queries.
- Ensures High Priority work is correctly identified and prioritised

Skills and Experience Specification:
- Good organisational skills.
- Good communication skills.
- Logical, analytical and resourceful.
- Ability to follow through on tasks/projects.
- A willingness to work both as part of the team and on own initiative as required
- Resilient and able to operate effectively under pressure
- Good command of the English language, both spoken and written
Essential:
- General office administration experience
- Minimum grade C at GCSE (or equivalent) in Math and English
- Computer literacy in Microsoft Word, Excel, PowerPoint
Desirable:
- Working towards insurance qualifications is desirable but not essential
- Proficient multi languages, especially Japanese, skills (speaking, reading, writing and understanding) is greatly advantageous but not imperative
- Knowledge of general insurance market, different lines of business, underwriting procedures and/or underwriting systems is advantageous but not imperative
