Job Responsibility:
Sixth Form Receptionist & Attendance Officer Role Summary
This is a job share role, 2 days per week.
You will be the main contact person for all parents and visitors to the Sixth Form and will also provide administrative assistance to the Director of Sixth Form and the Registrar.
You will be responsible for admitting visitors to the site, signing them in and directing them to meetings.
You will also handle incoming calls, answer admissions enquiries and re direct calls to the right person where necessary.
As the public face of the school, you will be expected to maintain and promote the ethos of the school in all your dealings with pupils, parents and visitors.
The qualities of flexibility, initiative, humour and perseverance will be essential for the success of the role.
Reports to: Sixth Form Registrar
1. Key responsibilities:
Reception
- Managing visitors to the Sixth Form
- Controlling entry and exit in line with safeguarding requirements
- Handling incoming phone calls
- Providing advice and guidance to visitors
- Handling general queries from pupils and staff.
Registration
- Receiving calls from parents re sickness/absence, recording on Arbor and obtaining evidence
- Issuing un-registered pupil reports
- Contacting parents regarding un-registered pupils
- Ensuring that all registers are completed
- Producing Arbor reports and other pupil attendance reports as required
- Administration of Enrichment Activity registers
- Assisting with the administration/ documentation of Wednesday Afternoon Activities
- Ensuring that Fire Drill procedures regarding registers are adhered to and communicated effectively.
- Highlight potential safeguarding issues to SLT
- Monitoring adherence to school dress code by students.
School Office
- Handling deliveries and distributing post
- Updating pupil/parent records on Arbor
- Maintaining stationery and other supplies and orders, including staff room provisions
- Assisting with general office mailings
- Referring sick pupils to the School Nurse when necessary
- Assisting with pupil filing
- Undertaking relevant training to become a School First Aider and maintenance of first aid kits
- Phoning parents and asking them to collect pupils when unwell
- Liaising with the Nurse re any pupil medical emergencies
- Liaising with Site and IT teams on any damage or maintenance issues.
Assisting Director of Sixth Form
- Managing of diary - booking appointments with parents and other visitors
- Co-ordinating meetings with staff/Senior Team and management of Calendar commitments
- Producing parental letters and arranging meetings with parents
- Assisting with arrangements for Sixth Form events including catering requests and room bookings
- Assisting with Parent Consultation Evenings for Y12 & Y13
- Assisting with reporting admin for Sixth Form
- Providing cover for other administrators across the school when required
- Carrying out any such other duties within the post-holder's capabilities as may be reasonably requested from time to time
