Right now, we are looking for an Administrator to join our Facilities Team at our Fulfilment Centre in Stafford.
The Role
We are looking for a Facilities Administrator to join our growing team and help assist with the daily operations of our team. You will be responsible for coordinating and overseeing the day-to-day administration of our facilities department. The role involves managing maintenance activities, liaising with contracts, ensuring compliance with health and safety regulations, and providing general administrative support to the facilities team. The ideal candidate will have strong organisational and communication skills and provide a proactive approach to problem-solving.
Key Responsibilities
- Processing requisition orders and payments: Manage the processing of requisition orders and ensure timely payment of invoices.
- Handling communications and scheduling: Respond to telephone and email enquiries, manage diaries, and arrange internal/external meetings, including minute-taking.
- Maintaining electronic records: Keep accurate, up-to-date electronic records and systems for the facilities department.
- Raising purchase orders: Create purchase orders as required using SAP.
- Resolving vendor queries: Identify and resolve vendor-related issues and queries.
- Invoice processing: Ensure all invoices are processed promptly, ensuring vendors are paid on time.
- Vendor setup and management: Set up new vendors, issuing terms and conditions as needed.
- Electronic locker system management: Oversee the in-house electronic locker system, including issuing new tags to colleagues.
- Filing legal documents: Keep legal documentation well-organized and up to date.
- MHE fleet auditing: Maintain accurate records of the company's MHE fleet, conducting monthly audits.
- Budget management: Control the facilities budget, monitor spending in SAP, and ensure alignment with forecasts.
- Attending contract meetings: Participate in contract meetings with the contract manager, taking notes and maintaining up-to-date records.
- Site engagement activities: Support and engage in site-related activities and initiatives.
- Maintenance records: Record and maintain up-to-date maintenance logs and certificates for site equipment.
- CMMS system management: Oversee the CMMS system, logging, and tracking work requests, and maintaining accurate records of completed work.
Skills & Experience
- Experience: Previous experience in facilities management, office administration, or a related role is highly desirable.
- Organisational & Communication Skills: Strong organisational abilities with excellent written and verbal communication skills.
- Technical Proficiency: Competence in Microsoft Office Suite (Word, Excel, Outlook).
- SAP Knowledge: Prior experience with SAP is preferred.
- Attention to Detail: High level of accuracy and attention to detail in all tasks.
- Teamwork & Independence: Ability to work effectively both independently and within a team environment.
- Proactive & Motivated: A self-driven individual with strong prioritisation skills, able to manage tasks and meet deadlines efficiently.
- Adaptability: Comfortable working in a fast-paced, reactive environment.
- MHE Fleet Administration: Experience in MHE fleet administration is advantageous, but in-house training can be provided.
