Duties:

  • To provide a welcoming and professional front of house Reception Service for students, staff and visitors.
  • To operate the College switchboard effectively to ensure that all Fareham College stakeholders have a positive interaction with the College.
  • Managing the info email account, responding to and forwarding enquiries to relevant areas of the College.
  • To maintain appropriate records, statistics and electronic data in connection with the service provided and complete all necessary administrative tasks to support this.
  • Responsibility for the First Aid Phone and fulfilling role requirements for an emergency evacuation procedure.
  • Providing a first line of support for students. Monitoring the live chat function, the email inbox and assisting students with day to day queries.
  • Representing the College at any events ensuring that the Careers information, advice and guidance is consistent and promotes our full range of provision. This includes Open Evenings, Welcome Days, Advice Evenings and other events as appropriate
  • Supporting the Careers & Outreach advisory team in driving the achievement of college targets for converting prospective students into enrolment. This includes our Full-Time, Part-Time, Higher Education, Apprenticeship and Adult recruitment targets for new learners and progressing learners.
  • Using Pro-Monitor and College CRM systems to maintain records and share intelligence in connection with the service provided. Updating student details /records and changes of address and other personal details.
  • To support with the organisation of outreach support for events and within our local communities, this includes school events, assemblies and employer events.
  • Timely and accurate processing of student medical and consent forms and completing other administrative tasks such as creating and processing mail merges.

Skills/Experience:

  • To demonstrate well-developed IT skills, including word-processing and accurate database input. Teaching/tutoring/mentoring experience with apprentices, part time or full time learners.
  • To demonstrate excellent communication and interpersonal skills, with staff, students and visitors, in person and over the phone. Well organised with excellent communication skills.
  • To demonstrate previous experience of working within a receptionist/administrative role.
  • To demonstrate previous experience of working within in a customer service environment

Qualifications:

  • To provide evidence of an education to at least GCSE standard or equivalent including English and Maths at grade C or above. Relevant degree and/or appropriate level professional qualifications.
  • Customer Service qualifications Commitment to achieving teaching qualifications.

CIAG Level 3 (or working towards)

  • To be well organised, and be able to keep accurate records
