Here at ChilternWellbeing we are looking to hire a Patient Facing Clinic Coordinator to join our team. As a private podiatry clinic, we provide a first-class service to all our patients and have a passion for optimising peoples foot health and wellbeing. Our clinic is constantly on the up and up and we are looking for an enthusiastic and highly skilled person to come with us on this journey. This is an extremely exciting role for the right candidate with huge prospects on the horizon.
About your experience:
You're highly experienced in interacting with patients and can be the face of the clinic as our patients first walk through the door. You can build and develop customer relationships and provide great knowledge and guidance. Highly proficient and confident in IT, we want brilliant not basic! As well as intermediate numerical skills which will be used daily. You are a quick learner who can adapt to the situation around them and think on your feet. You enjoy a varying workload and can multitask even in stressful situations.
About your personal qualities:
You're a warm and charismatic face that our patients will grow to love and recognise. You offer guidance and support to our patients in their time of need and offer an empathetic ear when they call or visit us. You guide them through all our appointments, from standard nailcare to our more specialist appointments and services. You understand that our patients needs always come first and you treat every patient with dignity and respect. You are focused and can think quickly and on the go. You have a sparkling personality and can gel with your team with ease. You will have a keen interest in social media, including the use of Facebook, Instagram, and LinkedIn platforms.
What your typical day will involve:
Your focus is to provide the best service and care to our patients. You are the vital link between our patients and the clinical team. Your ability to build and maintain strong relationships with our patients and fellow team members is an absolute must for our clinic. You will welcome and greet each patient that arrives every time with the same first-class attitude. Once the patient is in your domain and until they reach the clinic room, it is your time to shine.
To ensure the smooth running of the clinic day we use an online patient booking system. With this we can communicate with patients in various ways. Intermediate computer literacy is a must for this role. You will work closely with the company director and express your thoughts and opinions. We have a vast number of services that we offer, therefore we advise that you conduct some research into our services and keep up to speed with any changes.
Other daily responsibilities include:
- Managing and dealing with a high volume of calls and emails
- Writing referral letters
- Creating invoices (including amending and editing any errors or discrepancies)
- Managing clinic stock (including medical supplies)
- Contributing towards marketing content
- Promoting clinic sales
- Ensuring we are meeting our health and safety standards and guides.
- Sterilisation of clinical instruments and proper storage of instruments
- Daily file uploading including business invoices and patient documents.
- Ensuring the clinic is kept clean and tidy by all staff members
Additional weekly responsibilities for you and your team:
- Creating posts for social media and constant social media ideas and content ideas
- Scheduling social media plans and posts for various platforms
- Responding to Google reviews and comments received on social media
- Liaising with clinical director and keeping them up to speed
- Organising staff rotas and annual leave
- Assistance with the organisation of clinic events and promotions

Hours:
Monday to Friday 24.5 hours
With one or two Saturdays required per month.
We require an exceptional candidate who is interested in enhancing and further developing their skill set constantly. You must be prepared to live up to our patients and team's high standard of care. We are looking to enhance our clinic even further this year and would love to have our brand-new Patient Facing Clinic Coordinator on board to join us on this journey.
