Job Responsibility:
Job Purpose As part of the Performance & Reward Centre of Excellence, the post-holder will provide customer-focussed administrative support for the planning, co-ordination, and implementation of all Performance, Pay and Reward related activities and initiatives in support of University People & Organisational Development (POD) strategy and related projects.
Main Duties and Responsibilities 1. Respond to queries raised by staff, managers and other POD teams on matters relating to performance, pay and reward policies and processes, providing advice and escalating to a more senior colleague where required. Identify trends in enquiries and opportunities for continuous improvement. 2. Assist with the administration of a range of cyclical people-related processes, for example, Academic Promotion, Performance & Development Review and Rewarding Contribution. 3. Support the administration of the Early Career Development Programme, including but not limited to; the enrolment of new colleagues onto the scheme, organisation of induction events and supporting the running of ECDP Committee Meetings including taking accurate minutes. 4. Maintain accurate staff records within People XD and generate statistical reports/information through reporting tools and any other relevant sources; performing manipulation and analysis of relevant information to present in an appropriate format for dissemination to a wide range of audiences. 5. Support the administration of the Benefits Plus salary sacrifice schemes including Childcare Plus (Childcare vouchers) and Cycle Plus (Cycle to work scheme). 6. Assist in the administration of the Long Service Awards, identifying eligible colleagues and processing the rewards and communications. 7. Support team activities by arranging meetings, securing room bookings and supporting with diary management. 8. Ensure data is always processed in compliance with General Data Protection Regulation (GDPR). 9. Undertake any other reasonable duties as required by management.
Knowledge/Qualifications, Skills, ExperienceKnowledge/QualificationsEssential: A1 Scottish Credit and Qualification Framework level 5 or 6 [National 5 or 6, Scottish Vocational Qualification level 2 or 3] or equivalent, and experience of personal development in a similar role and/or the ability to demonstrate the competencies required to undertake the duties associated with this level of post having acquired the necessary knowledge and skills in a similar role.
Desirable: B1 Chartered Institute for Personnel & Development (CIPD) Foundation Certificate in People Practice Level 3 or equivalent.
SkillsEssential: C1 Excellent attention to detail with a strong focus on accurate outputs, ideally evidenced through experience in a similar role. C2 Proficient in the use of Microsoft packages including Outlook, Word, Excel, PowerPoint and Teams. C3 A customer-oriented approach with excellent people skills (tact, diplomacy, assertiveness and resilience). C4 An adaptable approach to workload management, with strong prioritisation skills. C5 Well-developed communication skills, both verbal and written. C6 Ability to work effectively as part of a team that partners with multiple other teams. C7 High level of initiative and decision making with regard to resolving issues and determining whether escalation to a senior colleague is required.
ExperienceEssential: E1 Experience in dealing with a diverse range of customers and staff at all levels in an organisation. E2 Experience of understanding and communicating policy and procedure to staff up to and including Senior Management. E3 Experience of managing a busy workload, with multiple critical deadlines. E4 Experience working with Microsoft Office packages including Outlook, Word, Excel, PowerPoint and Teams.
Desirable: F1 Experience of diary management. F2 Experience of minute taking.
Terms and Conditions Salary will be Grade 4, £22,681 - £25,138 per annum. This post is full time (35 hours per week) and open ended (permanent).
