Godolphin is seeking to recruit a PA to the Head of Estates and Facilities in Newmarket. The Head of Estates and Facilities' remit is diverse and extensive, and this role is the same. The position would suit an individual who enjoys supporting a variety of teams and working with different people. It requires someone very proactive and keen to get involved as much of the work is project based and sits across multiple departments; Property, Facilities, Compliance, Estates etc. Supporting the management of a portfolio comprising 8,000 acres, 350 properties and myriad additional assets is challenging but rewarding. Efficiency and quality are paramount at Godolphin and interesting projects are the norm.

Job Description

This role requires excellent organisational skills, the ability to work under pressure, clear communication and the ability to multitask. The successful candidate will possess a solid work ethic, enthusiasm, confidence and excellent organisation skills. A keen eye for detail is essential.

Key Tasks

  • Ensuring timely and accurate administrative support in all aspects of the Head of Estates and Facilities diverse range of duties.
  • Administrative assistance with large projects that are undertaken, including raising purchase orders, printing and filing.
  • Working with the Finance Analyst, tracking and monitoring capital expenditure relating to large projects.
  • Oversee the stringent procedure of arranging the renewal of Estates contracts, monitoring annual costs and ensuring satisfactory service with key performance indicators and regular contact with Line Managers.
  • Oversee the arrangement of training for Estates operatives to ensure compliance in respect of machinery that they operate, as well as monitor and maintain accurate records for refresher training.
  • Ensuring the Godolphin Estates Management System (GEMS) is regularly and accurately updated.
  • Assist in the compilation, preparation and distribution of reports, minutes of meetings and meeting agendas.
  • Diary management and co-ordination.
  • Line manage the Estates and Facilities Administration Assistant.
Qualifications

Skills and Experience

  • Computer skills in Microsoft Office (especially Excel) are essential and the ability to keep accurate records
  • Excellent communication skills are required with the ability to effectively communicate at all levels
  • Excellent organisation skills are fundamental. A high standard of presentation both personal and of the office environment is required
  • Ability to work under pressure and to tight deadlines, prioritising tasks as required
  • It is essential to have a flexible and robust attitude to work
  • Knowledge or background in facilities, estates or construction would be an advantage
  • Good educational background including GCSE Maths and English (or equivalent) are essential

Working hours for this position are 9am to 5pm, Monday to Friday.
