The Department
The HR department covers a broad range of activities and is responsible for the following;
- Creating, implementing and managing HR and staff policies and procedures.
- The full employee life cycle including sourcing, hiring, induction, performance management, development, retention and the separation of staff.
- Providing the tools for staff to enhance their skills through training and development to add greater value to themselves and increase the impact made to the business.
- Aligning total rewards with business requirements and coordinating and administering compensation and employee benefits.
Role responsibilities
Responsibilities and tasks include, but are not limited to:
References
- Respond to all reference requests (past staff/current staff/regulated).
- Maintain a tracking system that clearly shows when references have been sent so that updated references can be sent as per our regulatory requirements.
Leave of Absences
- Responsible for the processing of leave of absence requests - paternity leave, sabbaticals, parental leave, unpaid leave, jury service etc.
Training & Development
- Book all ad hoc staff training with our training broker including CISI courses which are required prior to individuals becoming regulated staff.
- At month end (from the reports emailed to us by our training broker) upload all training that has been completed into our HR system.
- Work with the HR team to continue to improve our Training and Development offerings and processes.
Performance
- Support HR team with the annual performance appraisal process, responding to any queries and chasing objective completions.
Recruitment & New Joiners
- Support the HR team with elements of the end-to-end recruitment process, including co-ordinating interviews, obtaining necessary approvals and preparing offer documentation including but not limited to employment agreements and offer letters.
- Set up all new staff on the Peel Hunt careers portal and on our screening provider to ensure background screening, criminal record checks and on-boarding documents are all completed and are satisfactory ahead of the new joiner's start date.
- Complete on-boarding for new starters including adding them to our HR system, liaising with Compliance and preparing welcome packs.
- Conduct first day inductions.
- Co-ordinating quarterly company inductions.
- Work with the HR team to continue to improve the overall recruitment and on-boarding processes.
- Co-ordinate with Marketing and send the monthly “our people” email from the HR Mailbox.
General HR
- Support the team with work experience requests (incl. preparing work experience schedules, exit interviews).
- Benefit administration such as the EAP Monthly uploads (Lifeworks/ Help at Hand) and the Roodlane monthly uploads.
- Data entry into relevant HR systems and new joiner on-boarding.
- Support with the graduate and internship programme administration.
- Support HR team in keeping the HR Intranet pages up to date.
- Support with the annual credit checks for cash handlers and annual criminal record checks for senior managers and certified persons.
- Key HR point of contact to support with the holiday and absence tracking system - making changes, adding new joiners, removing leavers and running reports.
- Ensuring all staff payroll changes are updated in the relevant drive / forward files to ensure all variations are accurately captured in a timely manner for payroll processing.
- Respond to any ad-hoc queries from staff.
- Manage all HR archiving.
- GDPR data destruction/retention i.e. check folders every six months and delete/archive anything on N: drive we have had for too long.
- Have an understanding of the regulatory environment, and values and abilities consistent with the FCA conduct rules.
Job Requirements- Excellent demonstrable organisational skills.
- Excellent attention to detail.
- Strong verbal and numerical skills.
- Proactive, self-motivated with a task-orientated approach.
- Demonstrable experience in multi-tasking and prioritising heavy and varied workloads.
- Confident with Microsoft Office applications, in particular Excel & Word.
- Ability to work well within a team.
