Vacancy: Service Support Worker (Administrator) within Children and Family Services team
Hours of Work: 16 hours – weekdays, potentially over 3 days but open to discussion
Contract length: Until 20th December 2024 – potential for other opportunities/extension
Salary: £12.31 per hour (FTE: £22,404.20)

Service support will be focused around our:
- Employability Programme for which aims to empower young people (ages 18-26) to build their skill sets and feel confident about searching for job opportunities
- Community Connections service which aims to reduce loneliness and social isolation for vulnerable adults across Kirklees, to improve the wellbeing of adults accessing these services, and to ensure the needs of target communities are met, primarily via our Befriending Service
With additional support to our:
- Health and Wellbeing (injury prevention and reduction, Healthy Start, safety in the home)
- Family Time (child contact) service (for parents/carers and children that do not live together to spend time together)
- Domestic Abuse Prevention Programme (providing interventions for male perpetrators, and support for female victims of domestic abuse)
The post holder will work collaboratively within the team to ensure service users receive the right support and service available to them, as well as providing comprehensive administrative support to the Children and Family Services team to enable the department to run efficiently.
Job Description – Main Activities
Administration
- Ensure referrals are correctly documented and set up in line with internal and external procedures
- Creating and maintaining detailed and accurate client files whilst ensuring confidentiality and upholding client data security
- Ensure record keeping and monitoring is accurate, up to date and timely
- Providing written communication to clients, partners and other professional bodies, ensuring clear and accurate information, advice, or direction is being provided
- Scheduling of client appointments and ensuring that shared calendars are up to date to enable other team members to carry out their duties effectively
- To contribute to the monitoring and evaluation of the service to capture outcomes e.g. responsibility for supporting with collecting feedback from and completing evaluations with service users and professionals.
Client-facing
- Maintain and communicate with clients (including service users and volunteers) and professionals via telephone and in writing
- Communicate, liaise, interpret and respond clearly and effectively to spoken requests by phone or in person, and to verbal or written instructions
- Liaise with project coordinators/managers and relevant staff to ensure schedules are up to date
- Provide first point of call for clients and professionals and ability to provide accurate and effective information and guidance which meets their individual needs
Team-based
- Create and maintain effective and efficient administrative processes that provide a supportive base that enables team members to carry out their own roles
- Communicate effectively with team members to ensure they have accurate and up-to-date information
- Work alongside team members to support and monitoring that processes and timescales set by the organisation and/or commissioning partners are maintained and achieved
- To attend, and work with colleagues to support, organise and promote networking or other associated events (internal and external)
Finance
- Overseeing petty cash systems. Monitoring that appropriate payments are received from clients, tracking payments received and outstanding, following up outstanding payments and liaising with finance department on these matters.
- Raising invoices in a timely manner and liaising with external organisations regarding invoices.
Processes and procedures
- Adhere to stated polices and procedures relating to health and safety
- Maintain and pursue personal development of skills and knowledge necessary for the effective performance of the role i.e. knowledge around Safeguarding, Data Protection, domestic abuse, parental conflict

Other

Knowledge, training, and experience required:
- GCSE/Level 2 English and Maths or evidence of a good standard of numeracy and literacy
- RSA 11 word processing or ability to produce work to that standard
- NVQ Level 2 qualification in Business Administration or similar would be desirable
- Experience of using computer packages including word processing, databases, spreadsheets
- Experience of using databases and maintaining monitoring systems
- Data input experience with high level of accuracy
- Clerical/administrative experience in a busy office environment
- Experience of developing and maintaining relationships with a wide range of partners would be desirable
- Experience and knowledge around Safeguarding practices relating to Children and Adults would be desirable
- Prior experience in working with clients with challenging behaviour, or clients that are seeking access to support services or requiring information and guidance would be desirable
