Job Responsibility:
The post holder will be responsible for the prompt collection of complete, accurate and reliable data to the relevant databases within Medicine. These databases currently include MINAP and NICOR. To provide a co-ordinating role for West to ensure compliance with national database submissions and ensuring validation of data quality. In order to contribute to the delivery of a safe and efficient service, the post holder will co-ordinate results and ensure accurate and timely completion of databases and reports to meet national deadlines. The post holder will be required to work closely with identified senior clinical staff and become involved with relevant meetings. In addition the post holder will provide an accurate, confidential and supportive administration service for patients, clinical teams, carers and internal and external agencies (e.g. Local Authority, Third Sector, CAIS) in order to: Provide a safe and efficient patient pathway and provide information and appropriate support to families and carers The post holder will support the delivery of a comprehensive high quality medical secretarial administrative service. The successful candidate will join and contribute to a dynamic and busy Medical Team. The ability to speak Welsh is desirable for this post; English and/or Welsh speakers are equally welcome to apply. Data Co-ordination Duties To co-ordinate the provision of complete, accurate, reliable and timely data to the medical databases in line with national targets in an efficient manner. Maintain accurate databases for medicine which involves ensuring that the databases are adequate to support the activities of the service. Retrieve and track case notes for patients included in the databases. Ensure timely and accurate validation of clinical data. To support and promote good quality data collection by liaising with both clinical and non clinical staff. To be able to identify gaps in individual patient records and ensure that all missing data is retrieved and entered into the database appropriately. To forward regular reports to the teams on progress and outcomes. To liaise with the relevant stakeholders regarding the maintenance and further development of systems for collecting data in line with national and organisational requirements. To work with colleagues on other sites to produce regular BCUHB reports on performance associated with the various databases. Liaise with national data co-ordinators to answer queries and make corrections. Attendance at meetings. To work as part of administration teams. This would include answering the telephone, dealing appropriately with any urgent matters arising and providing administrative and typing support when necessary. Audit Duties Work as part of the team to ensure the delivery of the annual clinical audit plan. Work with clinical teams to facilitate audit projects. Work with clinical teams to complete data to be presented at monthly audit meetings. Minute taking at relevant meetings. To assist with the review and summary of literature, database design and the collection and analysis of data for specific audit projects when required. This may include the development of pro-formas, templates and other tools. Produce reports on completed audit projects as required. Produce reports for ad hoc queries from data compiled on the databases. Data collection and collation for regular audit reports eg. NICE guidance.
