Job Purpose
Train4All are a Private Construction and Engineering Training Academy based in Somerton, Somerset. We are entering an exciting new phase with new contracts coming on board in the spring and so need a friendly, well organised centre administrator to join our amazing team. The successful applicant will be so much more than a just an administrator and receptionist, you will be a very vital and important member of the team.
Duties:
- Manage an effective reception, dealing with all visitors, telephone calls and communications.
- Perform general administrative duties as required.
- Answer the telephone and relay messages as required.
- Update company CRM System with learner details and course bookings.
- Take payments for course bookings.
- Co-ordinate room bookings and refreshments and associated arrangements for the short courses i.e. registers, evaluations, photocopying, meet and greet and follow up administration.
- Produce and create training materials for the Curriculum Team as required
- Provide admin support for the Operations and Senior Leadership Team.
- Maintain the correct levels of stock and order stationery within prescribed budget.
- Produce in-house certificates and claim formal qualifications.
- Arrange learner interviews as required.
- Assist with Open Events and Recruitment days.
- Write and dispatch routine and/or straightforward letters/emails.
- Deal with and distribute post, matching invoices and delivery notes for Finance
- Ensure all vehicle services/insurances/fuel cards and MOTs are up to date.
- Take minutes of meetings and distribute to all team members as required.
- Complete filing and document archiving.
- Organise social events for the staff as required.
- Monitor first aid supplies and order resources when necessary.
- Record all first aid incidents following company procedure.
- Undertake in-service training and continuing professional development based upon individual and service needs.
- Carry out any other duties commensurate with the grade and expectations of the post.
Generic Duties
- Maintain effective working relationships with employers, staff and learners.
- Work and manage time, efficiently and effectively.
- Attend team meetings and one to ones with Line Manager.
Full training will be provided but it is important that applicants have relevant experience in an administration/customer service role and possess excellent IT skills. Applicants must be well organised and be able to prioritise workloads in a fast-paced environment. The successful applicant will be subject to a 3-month probationary period.
Job Types: Part-time, Permanent
Pay: From £12.50 per hour
Expected hours: 20 - 25 per week
