About Us: We are a well-established nursing home in Pontypool, committed to providing the highest standard of care for our residents. We are currently seeking a highly organised and detail-oriented Bookkeeper & Administrator to join our team and support our financial and administrative operations.
Position: Bookkeeper & Administrator
Key Responsibilities:
Bookkeeping Duties:
- Perform bookkeeping tasks such as data entry, accounts payable and receivable, and bank reconciliations.
- Maintain accurate financial records using bookkeeping software such as Sage, Xero, or QuickBooks.
- Prepare financial reports and assist with budgeting and forecasting.
- Process payroll for staff, ensuring compliance with relevant regulations.
- Reconcile bank statements and manage general ledger entries.
Administrative Duties:
- Deal with suppliers, negotiate and compare prices to ensure cost-effective purchasing.
- Answer telephone calls and provide exceptional customer service to clients and vendors.
- Report to managers and directors on various administrative and financial matters.
- Proofread and edit documents to ensure accuracy and professionalism.
- Coordinate projects and ensure their timely completion.
- Liaise with the firm's accountants to ensure accurate financial reporting and compliance.
- Perform general administrative tasks to support the smooth operation of the nursing home.
- Manage front desk operations, including answering phones and replying to emails.
Skills:
- Personal assistant skills to provide support to executives and team members.
- Proficiency in QuickBooks for accurate financial record keeping.
- Familiarity with Google Suite for document management and collaboration.
- Strong proofreading skills to ensure accuracy in written materials.
- Experience with front desk operations and phone systems.
- Project coordination abilities to manage multiple tasks simultaneously.
- Excellent customer support skills to address client enquiries and concerns.
- Strong organisational skills to maintain order in the workplace.
- Familiarity with Excel and Microsoft Office Suite.
Requirements:
- Proven experience as a bookkeeper or in a similar role, preferably within the healthcare or nursing home industry.
- Proficiency in using Sage, Xero, or QuickBooks.
- Strong understanding of payroll processing and related compliance requirements.
- Excellent organisational and multitasking skills.
- Strong attention to detail and accuracy.
- Ability to work independently and as part of a team.
- Excellent communication and interpersonal skills.
- Ability to provide exceptional customer service to clients and vendors.
