About Us: We are a well-established nursing home in Pontypool, committed to providing the highest standard of care for our residents. We are currently seeking a highly organised and detail-oriented Bookkeeper & Administrator to join our team and support our financial and administrative operations.

Position: Bookkeeper & Administrator

Key Responsibilities:

Bookkeeping Duties:

  • Perform bookkeeping tasks such as data entry, accounts payable and receivable, and bank reconciliations.
  • Maintain accurate financial records using bookkeeping software such as Sage, Xero, or QuickBooks.
  • Prepare financial reports and assist with budgeting and forecasting.
  • Process payroll for staff, ensuring compliance with relevant regulations.
  • Reconcile bank statements and manage general ledger entries.

Administrative Duties:

  • Deal with suppliers, negotiate and compare prices to ensure cost-effective purchasing.
  • Answer telephone calls and provide exceptional customer service to clients and vendors.
  • Report to managers and directors on various administrative and financial matters.
  • Proofread and edit documents to ensure accuracy and professionalism.
  • Coordinate projects and ensure their timely completion.
  • Liaise with the firm's accountants to ensure accurate financial reporting and compliance.
  • Perform general administrative tasks to support the smooth operation of the nursing home.
  • Manage front desk operations, including answering phones and replying to emails.

Skills:

  • Personal assistant skills to provide support to executives and team members.
  • Proficiency in QuickBooks for accurate financial record keeping.
  • Familiarity with Google Suite for document management and collaboration.
  • Strong proofreading skills to ensure accuracy in written materials.
  • Experience with front desk operations and phone systems.
  • Project coordination abilities to manage multiple tasks simultaneously.
  • Excellent customer support skills to address client enquiries and concerns.
  • Strong organisational skills to maintain order in the workplace.
  • Familiarity with Excel and Microsoft Office Suite.

Requirements:

  • Proven experience as a bookkeeper or in a similar role, preferably within the healthcare or nursing home industry.
  • Proficiency in using Sage, Xero, or QuickBooks.
  • Strong understanding of payroll processing and related compliance requirements.
  • Excellent organisational and multitasking skills.
  • Strong attention to detail and accuracy.
  • Ability to work independently and as part of a team.
  • Excellent communication and interpersonal skills.
  • Ability to provide exceptional customer service to clients and vendors.
