The Role and the Department

The Department and role purpose The Student Enrichment Directorate plays a pivotal role in developing, delivering, and transforming the Wider Student Experience at Durham University. We remain steadfast in our core commitment to accelerating the growth of far-reaching and market-leading programmes across performance, participation, and community outreach, whilst fostering a culture that safeguards academic excellence. Within the Student Enrichment Directorate there are 4 principal Leadership initiatives: · The Leadership Framework encompassing: The Emerging Leaders Programme, The Sport Leadership Programme and the Leadership Academy. · The Laidlaw Research & Leadership Programme

The Leadership Framework is a leadership development programme which aims to support the student leader in their leadership role while at university. The programme focuses on key leadership development skills which can be put into practice and subsequently reflected on for their future professional careers.

The Laidlaw Research & Leadership Programme aims to develop a new generation of leaders who are skilled researchers, embrace data-based decision-making, and believe it to be a moral imperative to lead with integrity. It invests in talented and motivated undergraduate students giving them the knowledge, skills, and experience to become global citizens and ethical future leaders.

The Leadership Framework delivers a large proportion of the programme through in-person events in collaboration with both external and internal partners.

This post is funded by Durham University for up to 15 hours per week, while the difference between the 15 hours and 21 hours (6 hours) is funded by the Laidlaw Foundation, which is reliant on external funding being available for the post..

What you need to demonstrate when you apply

We are looking for a team player who can join our small team to deliver student leadership support and development for Durham University. The post holder will ensure the smooth running of the administrative process to support the team, students and stakeholders.

The post holder will be able to compile, record, store and archive data and information to ensure the accuracy and safety of information following GDPR

.

Liaise with representatives from other service areas, professional organisations and agencies where necessary.

The post holder will be required to work with students on the Leadership Academy from time to time, understanding that the Leadership Framework is a supportive programme, encouraging and supporting students as student leaders.

Leadership events:

  • The Leadership Framework hosts regular events both in-person and virtual. The post holder will be responsible for the administration in ensuring these events are successful. This may involve: Booking venues, booking travel, ensuring all documents are completed for the safety and security of the events planned.
  • The post holder will be responsible for arranging travel and venue support for all events, ensuring accuracy and timely delivery of tickets and agendas.
  • The post holder will also be responsible for working with the assistant managers and senior manager to keep running budgets associated with the events.
  • To note. Leadership events are delivered around the UK (London, Yorkshire) and in Durham. The post holder will need to be able to support events in various locations. This may require the post-holder to work unsociable hours and sometimes away from home. This may include evenings and weekends.
  • Working with students:
  • The post holder will be responsible for:
  • Supporting the recruitment, development and engagement of students on the various Leadership Framework programmes.
  • Work directly with students to ensure they understand and fulfil their responsibilities they are committed to.
  • Update the various documents, and platforms (PebblePad as an example) in terms of the recruitment and onboarding process of new scholars, their scholar's contracts, risk assessment completions and ethical clearance. Ensuring that this information is on hand for Senior and Assistant Managers.
  • Liaise with University departments, and suppliers to deliver the international elements of the Leadership In Action components of the programme, along with the international student experience opportunities created through partnerships.
  • Liaise with University suppliers and stakeholders to deliver leadership training for the scholars, including residential programmes, and event venues.
  • Support the Student DSO's linked to the Laidlaw Programme, ensuring minutes of meetings are taken and shared, supporting students with the administration of hosting meetings.

General Admin;

  • Support the Senior Manager of the Leadership Framework with all administration to ensure the smooth running of programmes, and staff support.
  • E-mail, and TEAMS inbox management to support the team.
  • Prepare PowerPoint presentations for Senior Manager, and support Assistant Managers.
  • Prepare marketing materials to ensure the programmes and events are well attended.
  • Keep records of attendance of students and stakeholders at events.
  • Support the TEAM with creative marketing and promotion.
  • Resolve queries and requests for information and advice. Escalating specialist and complex queries or issues to more experienced team members.
  • Provide service and support for networks, committees and meetings, to draft and distribute documents and communications in standard professional formats.
  • Assisting the delivery of all Leadership Programmes with other reasonable duties.

Qualifications/Experience

1. Five GCSE's at least Grade C or level four (or equivalent) including English Language and Mathematics or equivalent experience.

2. Experience of working in a busy office environment delivering front line administrative services or having relevant qualifications for the role.

3. Experience of managing time to meet deadlines and working under pressure without compromising on quality.

4. Experience of working on internal and external partners.

5. Experience of working on internal and external events.

6. Experience with liasing with internal and external suppliers and specialists with organisation, planning and delivery of services, activities and events.

7. Experience in updating key business documentation, including PebblePad workbooks.

8. Experience with booking venues, catering, travel and/or equipment's for events, meetings and activities.

9. Experience with supporting with projected budgets and financial transactions.

10. Experience working in HE environments, particularly with students

Skills/Abilities/Knowledge

11. Good spoken and written communication skills.

12. Good digital skills including experience in using digital devices and apps including the internet, email, digital communication tools, Microsoft 365 applications, digital booking systems.

13. Relevant administrative experience in a busy office environment including minute-taking in team meetings, responding to e-mails from both internal & external stakeholders, and other tasks e.g. keeping accurate records, creating PowerPoint presentations

14. Good social media skill management, regarding using LinkedIn. Instagram, Twitter, Facebook, Linktree.

15. Previous experience in supporting the management of budgets and financial transactions.

16. Committed to continuing professional development.

17. Ability to solve problems and resolve straightforward issues yourself and as part of a team.

18. Ability to provide advice and guidance to a range of colleagues and customers.

19. Ability to use platforms to market events and programmes, specifically Canva.
