Job Role:
The Administrator will undertake in a range of clerical, administration and reception duties within the Outpatient department in a sensitive and polite, provide a comprehensive & efficient clerical service. The successful apprentice will be enrolled on the Business Administrator Apprenticeship Level 3 with Cancer Care embedded with PMA Ltd.
These responsibilities will be carried out under the guidance of the shift co-ordinator.
- To provide a reception service, welcoming service users, ensuring an efficient, polite and friendly reception service is provided at all times.
- To answer all telephone calls from patients and professional staff in a helpful and friendly manner and to ensure all calls not pertaining to the outpatients department are dealt with politely and efficiently and re-routed where appropriate.
- To maintain a helpful and efficient approach whilst assisting patients to book their outpatients appointments as per Outpatients Booking Policy.
- Liaising with clinical staff when clinics are fully booked in order to provide an overbooking service to all patients in all clinics.
- To arrive all patients for clinics and check personal details are correct.
- At the end of both morning and afternoon clinics ensure that all outstanding patients on clinic lists are cleared, either arriving/checking out or cancelling/changing appointments or show as DNA.
- To prepare and attend the Royal Marsden Outreach Urology Clinic held in Croydon University Hospital, Croydon. To arrange any investigations and appointments for patients receiving follow-up care at RMH.
- To take responsibility in booking appointments through the Connect system for clinics within the Royal Marsden NHS Foundation Trust and any other outside hospital when requested.
- Rearrange appointments at the request of patients or medical staff and to inform patients verbally or by letter.
- To assist patients who present in person at the reception desk with outpatient queries, making any necessary arrangements requested, changing patients registration details.
- Be responsible for monitoring any delays in patient waiting times by keeping patients informed using electronic notice board and a tannoy system, also to ensure relevant and up to date information is displayed in reception areas and ensure the area is kept tidy.
