The team/department The FCA has identified potential harms arising from Appointed Representatives (ARs) and their principals, which operate in a wide range of financial markets. To address these risks of harm, an Appointed Representative Department has been set up to undertake targeted action against the highest risk business models and Principals/ARs which represent the most significant risks of harm. What you will be doing We are looking for a talented, motivated, and highly organised individual to join our diverse and inclusive team to under-take a dual role. The first element is to provide sighted assistance to one of the managers in the department who is blind. The second element is to provide administrative assistance across the department. This element of the role will include organising the flow of information received by managers in the department, monitoring and maintaining diaries, booking meetings, organising travel, and undertaking tasks that help the working of teams, projects, or individuals. Sighted Support The successful candidate will be providing support to a blind manager as part of a workplace adjustment for roughly 16 hours per week. There are two key aspects in providing this. These are using FCA systems on behalf of the manager where the manager is unable to do so, reading aloud to the manager some written documents and information daily. The FCA operates a hybrid working policy, allowing staff to work from home for a percentage of the month. Therefore, you will largely be assisting remotely. But, on the days when the manager is in the Stratford office, the successful candidate will be required to be in the office on the same day to provide additional help. The role requires proactivity, empathy, flexibility, resilience, and an appreciation of competing and changing priorities, together with being delivery focused. The key duties vary, subject to when the manager is in the office but will include:
  • Providing effective daily support by using some FCA systems on the manager's behalf, (some of which are confidential)
  • Helping accessing documents and information by reading aloud and or re-formatting/re-typing certain documents
  • Looking ahead in the manager's diary to request papers ahead of meetings/events
  • Setting time aside to go through the papers and read aloud to the manager if necessary or re-format and on some occasions. You may need to re-type material so it can be accessed by the manager on their laptop
  • Plan to set time aside to complete some administrative tasks with the manager using FCA systems
When the manager is in the Stratford office, duties will additionally include:
  • Guiding around the building, accessing refreshments, comfort breaks, restaurant at lunchtime and on rare occasions, guiding to external meetings
  • Attending some meetings to take notes and agreed actions
  • Guiding to and from Stratford station to the office on days when the manager is in
  • May include occasional assistance to events hosted in our other offices in Leeds and Edinburgh
Team Administrator The other element of the role is to provide administrative assistance across two teams in the department for the remainder of the week. Duties will include:
  • Taking ownership of information received into the department and storing these correctly, in line with FCA policies
  • Managing two managers' diaries, including booking meetings, booking meeting rooms, proactively identifying and resolving diary clashes and ensuring managers have relevant papers and packs for meetings
  • Managing some ad hoc tasks such as taking minutes at internal and external meetings, sometimes of a confidential nature
  • Booking and arranging travel for external meetings and firm visits
  • Providing holiday cover as part of the wider administrative team

  • Previous experience of working in a support role in person
  • Previous experience of providing administrative assistance to a team using Microsoft Outlook, Excel & PowerPoint
