About the Role

The Pall Mall Surgery is seeking an enthusiastic personal assistant to support our practice and assistant practice managers, on a part time basis for 15-20 hours per week, over 2-3 days including Wednesday. In this role you will be utilising your advanced administration and organisational skills, to work in an adaptive and pro-active way covering a variety of tasks and responsibilities including liaising with other teams and stakeholders.

Main responsibilities include:
  • Keeping stock in date and ordering to ensure minimal wastage, and sufficient supplies.
  • Organising meetings, providing agenda's, minutes and tracking actions for completion.
  • Collating the annual update & review of Learning Events' by GP / Pharmacist.
  • Tracking complaints log to show when received, when resolved, chasers if awaiting further information/feedback.
  • Collating & completing the year-end reporting that is needed for NHSE.
  • General administrative support as directed by practice manager.
  • Arranging staff appraisals into managers diaries and providing staff with the appropriate pre-appraisal paperwork.
  • Assisting in providing information for the monthly practice newsletter re new starters / leavers.
  • Monitoring managers email account, respond to low-level emails and alert us to anything needing actioning or further investigation.
  • Monitoring mandatory staff training uptake and remind staff as appropriate.
  • Managing the practice managers diaries.

About the Candidate

  • Experienced administrators, with excellent IT and typing skills.
  • Experience in dealing with customer complaints.
  • Experience in appraisals, sickness management & staff training.
  • Adaptable and friendly, with strong administration, time management and organisational skills.
  • Excellent communicators able to work in a confidential and discreet manner.
  • Able to "think on their feet" in a busy working environment.
  • Strong IT skills with the ability to write & complete reports.
  • Able to multi-task, work hard and maintain a high level of attention to detail, when under pressure.
  • Able to work as part of a multi-disciplinary team, as well as comfortable working independently.

The Pall Mall Surgery is a large, modern GMS training practice operating from a contemporary health centre in Leigh On Sea which in 2022 was voted the best place to live in Essex. The town has excellent transport links, with two separate train lines into London. The practice is popular in its locality and supports 21,500 patients from birth to end-of-life care.
