We are looking for a highly organised and experienced Personal Assistant to support our daily operations and contribute to our continued success. We specifically look for someone with a minimum of 5 years of experience in a similar role.
Position Summary:
The Personal Assistant (PA) will play a critical role in managing office work and operational tasks. This position requires someone who is highly organised, methodical, and possesses excellent management skills.
Key Responsibilities:
- Administrative Support: Manage the owner's calendar, schedule appointments, and organise meetings. Handle correspondence, emails, and phone calls.
- Customer Inquiries: Respond to customer inquiries, provide information about services, and address customer concerns.
- Task Coordination: Plan, Assign and monitor work for cleaners
- CRM Management: Submit completed work to the CRM system, update customer records, and maintain accurate data.
- Reporting: Prepare regular reports on business operations, performance metrics, and other key indicators.
- Project Management: Assist with planning and executing business growth initiatives and special projects.
- Fleet management: Organise van repairs, MOT's, Insurance.
Required Skills and Qualifications:
- Organisational Skills: Exceptional ability to manage time, prioritise tasks, and maintain high levels of accuracy.
- Communication Skills: Excellent verbal and written communication skills for interacting with clients, suppliers, and team members.
- Operational Management: Experience in coordinating tasks, problem-solving, and resource management.
- Leadership Skills: Ability to lead by example, motivate team members, and resolve conflicts diplomatically.
- Customer Service: Strong customer service orientation and ability to manage customer relationships effectively.
Experience:
- Minimum of 5 years of experience in a similar role, preferably in a small business environment.
- Previous experience in roles such as Executive Assistant, Office Manager, Operations Coordinator, or similar positions where multitasking and handling diverse responsibilities were required.
