Employment type: Permanent, part time 22.5 hours per week (60%FTE)

Salary:£14,412.16 per annum (£23,700 PA FTE)

Newcastle University Students' Union is a vibrant, inclusive and progressive organisation which supports and represents students throughout their time at university. We are a charity and our services include academic representation, advice, employability and a substantial clubs, societies and events programme. The Union building consists of live music venue, bar, supermarket, merchandise shop, food outlets, study spaces and so much more. While we are two separate organisations, we work closely with Newcastle University.

Job summary:

At NUSU we believe that the voice of every student should have the opportunity to be heard. This is made possible by our dedicated Student Voice team. As the Student Voice Administrator will perform a variety of administrative and clerical tasks to support the smooth operation of the team. The role involves providing essential support to students, Officers, and the Student Voice Team, assisting in daily office needs, and coordinating some Union-wide administrative activities.

Key responsibilities:

As the Student Voice Administrator you will:

  • Coordinate and administer meetings: Organise and manage meetings, take detailed and accurate minutes, send correspondence and manage enquiries related to our committees.
  • Preparation: Support the preparation of reports and presentations for various committees and meetings
  • Manage data and correspondence: maintain spreadsheets, student databases and contact lists
  • Provide general office support: Offer general support to visitors and students, coordinate central Induction Talks, support the organization of the Sabbatical Officer induction and training
  • Ensure compliance and promote policies: Promote and implement the Student Union's Equality & Diversity Policy in all aspects of employment and service delivery

Qualifications and experience

  • Experienced administrator with strong organizational and minute-taking skills
  • A good standard of general education, including GCSE English or equivalent
  • Proficient in Microsoft Office and Vevox for information management
  • Awareness of current issues affecting students and Students' Unions

Skills and Abilities

  • Enthusiastic about supporting students and interested in higher education
  • Passionate about teamwork, innovation, and open communication
  • Excellent interpersonal skills for maintaining effective relationships
  • Strong written and oral communication skills for correspondence and minute-taking
  • Effective time management and daily work planning
