Job Responsibility:

Job OverviewThe Leasing Administration Coordinator plays a crucial role in supporting the administrative needs of the Dolphin Square Leasing Team. This position involves efficiently managing data input, referencing, and collecting documents for both new and existing tenancies. The ideal candidate will excel in a support role, work well as a team player, and demonstrate excellent customer service, organisational and administrative skills. Success in this role requires a fast-paced, solution-oriented, highly motivated, and detail-focused individual.

Responsibilities:

  • Document Management: Ensure all documents required to progress leasing deals are gathered and uploaded into the system in a timely manner. Manage and deliver paperwork for extensions and departures, following internal procedures.
  • Referencing Process: Oversee the entire referencing process, support applicants in completing applications, and upload final reports to the CRM system.
  • Right to Rent Compliance: Obtain Right to Rent documents such as passports, visas, and share codes.
  • Analysing data.
  • Customer Enquiries: Handle customer enquiries and log all communication in the central CRM system, proactively to address and resolve issues, maintaining expected standards of practice.
  • Team Collaboration: Work closely with the Leasing Team to ensure handovers are completed within expected timeframes and ensure a smooth customer journey.
  • Interdepartmental Coordination: Collaborate with the Tenancy Management Team to maintain open communication and a collaborative working relationship between departments.
  • Pipeline Oversight: Oversee the Leasing and Renewal Pipeline to ensure timely management of leasing and renewal tasks.
  • Renewal Processing: Process renewal offers in the system prior to handing them over to the Tenancy Team.
  • Pipeline Auditing: Audit both the renewal and deal/leasing pipeline to ensure accuracy and efficiency.
  • Dolphin Square Serviced Apartment (DHSA was Corporate Housing) Coordination: Work with the Booking Administrator to ensure all DHSA deals are accurately recorded in Real Page, relevant booking confirmations are sent out, and all paperwork is correctly uploaded and checked.
  • Marketing Support: Assist marketing efforts by managing apartment listings on DSQ and third-party websites.
  • Administrative Support: Assist the Head of Leasing with daily administrative tasks such as raising purchase orders (POs) and in the creation of checklists, and relevant SOPs, policies and procedures relating to governance and compliance.
  • Compliance: Ensure all tasks are performed in compliance with GDPR and other relevant regulations.

Must Haves:

  • Proficiency in managing data and using CRM systems
  • Knowledge of compliance and GDPR regulations is an advantage.
  • Microsoft Office Knowledge
  • Excellent customer service & communication skills, including written, oral and presentation.
  • Strong attention to detail and ability to multitask in a fast paced environment.

Desired:

  • Residential Living Experience: Ideally with Build to Rent (BTR)
  • Experience interacting with customers both in person and over the phone.
