Job Responsibility:

The purpose of this role is to deliver a safe, secure and high quality environment for our patients, staff, volunteers and visitors.

You will ensure that facilities are well maintained,safe and compliant with Health and Safety regulations.

This role involves developing and implementing safety policies, conducting regular inspections and promoting a culture of safety within the workplace.

PRINCIPAL AREAS OF RESPONSIBILITY

1. Facilities Management

· Attend sites across the property portfolio to investigate and identify building issues

· Manage the cyclical and reactive maintenance across the property portfolio. Obtaining quotes and liaising with contractors, ensuring H&S policies are adhered to.

· Develop and implement a planned maintenance programme, carrying out condition surveys in line with City Hospice's policies and procedures

· Updating and maintaining the contracts register for all facilities related contracts

· Managing contracts, ensuring all SLAs are adhered to the supplier is delivering value for money

· Manage works being undertaken on any of City Hospice's sites. Ensuring that work is carried out within a set timescale and with minimal disruption to the relevant site.

· Managing contractors and volunteers on site. Ensuring all relevant checks have been carried out carrying out site inductions, and adherence to Health and Safety policies

· Manage contractor and volunteers carrying out work in the building, ensuring they receive a site induction and abide by H&S policies.

· Maintaining workshops, plant rooms and other engineering spaces in a clean and tidy condition

· Responsible for monitoring H&S compliance in buildings across the City Hospice estate

· Carrying out routine semi-skilled electrical/mechanical/fabric planned preventative maintenance across the City Hospice estate (Ty Hosbis and retail estate)

o Plumbing and drainage problems

o Lamp/fluorescent tube replacement

o Minor building fabric repairs

· Oversee the external cleaning contract ensuring this is in line with City Hospice's procedures and adherence to infection prevention control

General maintenance work.

2: Health and Safety

· Develop and implement comprehensive health and safety policies that comply with regulations

· Conduct risk assessments . Regularly evaluate workplace environments to identify potential hazards and implement measures to mitigate risks.

· Inspect facilities, equipment and processes to ensure adherence to safety standards and identify areas for improvement

· Organise training sessions to educate employees on safety protocols ,emergency procedures, and the proper use of safety equipment.

· Analyse work place accidents to determine their cause and develop strategies to prevent further occurrences

· Stay updated on health and safety legislation to ensure City Hospice meets all legal requirements

· Keep detailed records of safety inspections , incident reports and training activities.Prepare regular reports for Committees.

· Promote a safety culture at City Hospice

· Assist with statutory compliance testing including fire safety equipment

· Ensure the correct and economical use of materials and cleaning chemicals in line with the relevant policies i.e. COSHH

· Undertaking weekly fire tests and organising fire evacuation drills

3. Housekeeping

· Responsible for the Opening & closing the hospice

· Setting up rooms for meetings, arranging tables and chairs and resetting the room once the meeting has concluded.

· Refill and replace consumables.

· Ordering and maintaining stationery supplies including printer and photocopier supplies.

· Collect & assemble waste for collection including confidential waste in line with regulations and City Hospice policies and procedures

· Patient driver - driving the minibus to collect and drop off patients for the day centre unit if required

· Liaise with volunteer gardening workforce ensuring garden maintenance in maintained and that good working practices are adhered to and in line with City Hospice's policies and procedures

· Responsible for grounds maintenance, ensuring they are safe to use e.g. no H&S hazards that may result in slips, trips and falls. Gritting and snow clearance

3. Fleet management

· Ensure MOTs and services are maintained and up to date on all fleet vehicles

· Undertake vehicle checks on all fleet vehicles

· Collate driver information in line with insurance requirements

· Liaise with the Corporate Partnerships Manager ensuring any FOC vehicles are added to the insurance and maintained in line with the dealership agreement

4. General responsibilities

· Ordering and distribution of incoming mail, sending external mail on a rota basis.

· You are required to work using your own initiative with limited supervision. You will have a flexible approach to work and organise your workload accordingly in order to deal with conflicting demands and tight deadlines.

· You are required to have good interpersonal skills to be able to deal with colleagues, external visitors and volunteers and have the ability to work effectively as part of a team

· To undertake ad hoc duties as required

5. To undertake other duties, as required, including:

· Participate in any statutory and mandatory training in line with City Hospice policy

· Take part in the Individual appraisal process

As part of normal duties, actively promote City Hospice and its activities

Skills, Knowledge and Experience

  • Educated to GCSE grade C level or equivalent including English & Maths - essential
  • Experience of working in a facilities / health and safety related role - essential
  • Excellent IT skills - essential
  • Completed a relevant recognised training scheme or an appropriate level City & Guilds certificate/NVQ in a suitable trade or demonstrate equivalent level of experience - desirable
  • Certification in Health and Safety - desirable
  • Health and physical abilities sufficient for the post (if necessary with reasonable adjustments with respect to the Equality Act/Disability Discrimination Act). - essential
  • Ability to communicate professionally at all levels - essential
  • Ability to use all Microsoft Office software - essential
  • Ability to use own initiative and work independently - essential
  • Capability to adapt to most situations - essential
