Job Responsibility:

We are looking for a Business Support Officer to provide support to the Emergency department senior team. This role is responsible for the provision and alignment of support to enable the operational and clinical activities of the department. The successful candidate will be responsible for the following key activities: Coordinating training and other activities delivered and coordinated by the team: including scheduling, planning and supporting training and events, and communication. Developing and maintaining key team databases and information management activities , including circulation lists, training logs and team inbox/first alert. Anchoring team administration , including support to team meetings, preparation of papers and reports and support to other team members as required.   • Collect all internal and external mail ensuring that this is opened, prioritised and filled accordingly. Prepare and send all outgoing mail.
  • Support with month end submissions & validation
  • Attendance and minute taking at departmental meetings as instructed. Type and distribute minutes and actions accordingly.
  • Electronic diary management for the senior leadership team.
  • Maintenance of personnel records, where appropriate, maintain shared drives and updating departmental email contact cards to reflect leavers and new starters.
  • Manage and update the requests of police medical statements from the departmental generic email folder ensuring that all relevant consent and payment forms adhere to trust policy and are then completed by the appropriate clinician during admin days. All time urgent requests must be flagged to the clinical director for appropriate delegation.
  • Manage and maintain all ED seminar room bookings, printing and updating the calendar and setting up the seminar room for all meetings as instructed.
  • Book clinic appointments as necessary.
  • Carry out all departmental binding, typing of notices, laminating and photocopying as requested.
  • Obtain, track and maintain any medical records as requested by the senior leadership team.
  • Provide break cover for the ED admin team as appropriate.
  • Organise and support training of clinical staff as required
  • Organise, chase & support the completion of onboarding new members including references
  • To attend in the event of a major incident and assist as directed.
  • Any other duties as deemed commensurate with the grade and as requested by the senior leadership team.
