What you will be doing: Key responsibilities

IT Support:

  • Tech Assistance: Provide first-level tech support to staff, along with laptop setups for new joiners this will include basic user account management such as account creation, password resets, and email group memberships within systems such as Active Directory & Google Workspace. Arranging account closures and the return of equipment for leavers. Configuring, distributing and collecting office keycards for building access.
  • System Maintenance: Assist in the maintenance of computer systems, printers and other devices. Scheduling Dell warranty repairs as needed.
  • User Support: Help employees with IT-related issues such as meeting rooms and Town hall meeting setups including audio and on-site hands for ad-hoc IT support with the IT director. Maintaining and supporting meeting room technology. Basic user account management including account creation, password resets, and email group memberships. Active Directory & Google Workspace
  • Inventory Management: Maintain an inventory of IT equipment and supplies, ensuring proper documentation and storage.

Admin Support:

  • Reception Duties: Greet visitor, handle incoming calls and manage emails
  • Office Supplies: Monitor and order office supplies to ensure the office is well-stocked.
  • Facilities management: Oversee the maintenance of office facilities, leasing with service providers if necessary. Attending quarterly building meetings
  • Event and meeting planning: Assist in planning and organising company events and meetings including slide presentations, arranging logistics, setups and ordering refreshments.
  • Correspondence: Handle incoming and outgoing correspondence, including mail and packages.

Ad Hoc support:

  • Data Management and Analysis: Assist with collecting and analysing data from events and marketing campaigns. Support report preparation on event outcomes and marketing campaign performance metrics.
  • Technical Coordination: Coordinate with external vendors and internal teams to meet all technical requirements for marketing campaigns and events; Troubleshoot technical issues during marketing campaigns and events, providing real-time solutions to maintain continuity and quality of experience.
  • Marketing Campaign Support: Support the deployment of digital marketing campaigns, supporting technical aspects such as landing pages, campaign setup, and performance tracking tools; help manage and optimise marketing automation tools to improve campaign efficiency and effectiveness.

Project work:

  • Research new systems as required making recommendations for adoption
  • Help with IT related aspects of office moves and mergers
  • Upkeep of security documentation & policies.
  • Assist with client IT security questionnaires requested by existing clients or during pitching stages
  • Support in any IT security certification ambitions of the company

Qualifications: Education & experience required

  • Education: High school diploma or equivalent required; associate's degree or relevant certification in IT or office administration preferred.
  • Experience: 1-2 years previous experience in an IT support role and/or office administration

Skills and abilities:

  • Technical Proficiency: Knowledge of Windows/Mac operating systems, Microsoft Office Suite, and basic networking concepts.
  • Problem-Solving: Strong troubleshooting skills and the ability to resolve technical issues efficiently.
  • Communication: Excellent verbal and written communication skills.
  • Organisational Skills: Strong organisational abilities with a keen attention to detail.
  • Multitasking: Ability to manage multiple tasks simultaneously and prioritise effectively.
  • Customer Service: Friendly and approachable demeanour with a focus on providing excellent service to internal and external stakeholders.
  • Confidentiality: Ability to handle sensitive information with discretion.
