Job Responsibility:
This role is within a unit where Surrey Police and Sussex Police work in collaboration, whilst remaining two separate legal entities/employers with different terms and conditions.
Both Surrey Police staff and Sussex Police staff are employed in this unit on their own force terms and conditions.
Successful candidates may be appointed on the terms and conditions of employment of either Surrey Police or Sussex Police, depending on organisational requirements. A discussion will be held with the successful candidate to confirm the details of location, salary, allowances and hours.
Division / Department - People Services Grade - Surrey Police Grade D / Sussex Police Grade 7 Status - Part Time Contract Type - Permanent Salary Grade Range - Surrey Police £24,075 - £27,303 / Sussex Police £24,462 - £26,487 Working Hours - 36.0 Hours per Week Shift Allowance - No Politically Restricted - No Location - Horsham
The starting salary for this role will usually be at the bottom of the salary range and will be pro-rata if the working hours are less than full time.

The Role & Key Responsibilities

In this role you will be

To provide admin support to the OHW service and the collaborated services including the two fire services (ESFRS & SFRS).

To assist with the efficient administration of the service, including quality control, presentation and reports, accessing Cohort/Cority system, answering enquiries, reconciling invoices, arranging payment of GP medical report invoices, supporting work/purchasing of equipment required by Surrey & Sussex gyms, and raising purchase orders.

To provide excellent customer service and to work as an initial contact for OHWS.

To assist with management information produced in conjunction with the clinical team as and when necessary, in line with the requirements of the partner organisations including third party contracts and collaborated services to ESFRS and SFRS. To consider the information in line with the administration service provided to ensure that efficiency and excellent customer service remain the priority.

To be aware of confidentiality in all aspects of the role.

To assist with the continuing development and maintenance of the Guidance Manual for the administration team.

To use the OH electronic operating system; Cohort/Cority to access health records and other IT systems such as PowerBI, and Teams .

Undertake other duties appropriate to the grade and character of work as may be reasonably required, including specific duties of a similar or lesser graded post.

Assist in completing Vetting applications for new starters or external/third party contracts.
Assist in completing inductions for new starters and completing leavers documentation and ensuring pass cards, laptops and mobile phones are returned.

Ensuring the Business Continuity (Emergency contact details) are updated as required.

Managing and saving relevant documents on Teams channels as appropriate.

CoP Learn - To ensure all relevant training modules for the teams NCALT are completed as required.

QUALIFICATIONS
Educated to GCSE level standard and or relevant qualification/s.
KNOWLEDGE, SKILLS & EXPERIENCE
Demonstrate knowledge of working in an administrative role
Demonstrable knowledge of good working practices and administrative procedures.
Has good knowledge of Microsoft Office, Outlook, Word, Excel, Teams, Office 365 and OH databases.
Good interpersonal and communication skills, in order to deal courteously and effectively with all queries and using sensitivity and tact with confidential issues.
Good customer service skills.
Good written communication skills with the ability to check records and correspondence.
The ability to gather statistical information and present in a relevant format.
Strong attention to detail and accuracy.
The ability to work calmly under pressure and respond flexibly to changing and sometimes challenging demands.
ADDITIONAL REQUIREMENTS
Has experience of working in a medical setting or similar/ practice and/or a public sector body.
Knowledge of Data Protection.
