Read more about us on Big.dk Executive Assistant to the Leadership Team BIG London is looking for an Executive Assistant to support and work alongside the Leadership Team of our London office. BIG is a group of 750+ architects, engineers, urbanists, inventors, researchers and business minds from all over the world who are based in our Copenhagen, New York, London, Barcelona and Los Angeles offices. While we are led by a group of expert partners, directors, and associates, a flat hierarchy and collaborative spirit are essential to our BIG ecosystem. As Executive Assistant to the Leadership Team in London, you will be responsible for the day-to-day workings of the schedules, with the priority of keeping them on time and prepared for each day. The ideal candidate will be an organised, proactive, and solution-oriented individual with excellent communication, time-management and problem-solving abilities. You will interface directly and regularly with other BIG executives to schedule frequent internal and external meetings; as such, strong prioritisation, multi-tasking, and communication skills are required to effectively negotiate the “Calendar Tetris” that can accompany busy schedules. We are seeking an affable person who can quickly build strong relationships with people at all seniority levels, both internally and externally. You will occasionally handle sensitive information, so discretion is crucial. Whilst your primary focus will be on supporting the Leadership Team, you will be an important part of the wider Operations team, and will work regularly with other Executive Assistants in London and globally. Key Responsibilities:
  • Successfully managing busy and ever-changing calendars
  • Coordinating travel itineraries and obtaining visas
  • Developing working relationships with external clients and internal stakeholders
  • Preparing logistics for in-house meetings and external events
  • Providing general administrative and occasional personal support
We seek someone with:
  • A Bachelor's Degree or equivalent combination of education
  • Fluent in spoken and written English
  • Excellent interpersonal and written communication skills
  • 5+ years' relevant experience required
  • Strong proficiency in Microsoft Office, Adobe is a plus
  • A calm demeanour and an eye for detail
  • A preference for a busy, high-paced and creative environment
  • A proactive and organised mindset - both big-picture-savvy and detail-oriented
  • Ability to be discreet with confidential information
