MAIN PURPOSE

We are currently looking for a Management System Document Controller to support Bilfinger UK Ltd in delivery of a quality service that achieves the requirements of the Company, Industry and International/National codes and standards. MAIN RESPONSIBILITIES

  • To act as a super-user of the document management system
  • Timely, accurate and efficient preparation and management of documents
  • Implement and maintain document control processes, procedures and system lists
  • Oversee the lifecycle of documents from creation to archival
  • Take charge of all management system document identification, classification and filing
  • Responsible for processing of new, change and archive requests in the management system
  • Ensure revised documents are accessible and assist in retrieval of documents as required
  • Check the accuracy and formatting of management system documents
  • Maintain a document register showing the relationship between old and new management system documents
  • Collaborate and communicate with document owners, approvers and stakeholders
  • Create document templates and formatting rules
  • Train employees in document control processes and use of the management system
  • Maintenance and production of monthly and ad hoc statistics and reports
  • Prepare management system communication bulletins
  • Maintain confidentiality around sensitive documentation
  • Conduct frequent document and system audits and assist with external audits
  • To support the business to look to simplify and rationalise the management system and documents held within
  • To look for innovative ways to engage and communicate with management system users
  • Engage in any other reasonable activity as requested by line management
  • Providing support to Quality team with ACTIVE reporting system
  • Co-ordination of technical libraries and transmittals

Experience & Qualifications

  • Demonstrable previous experience in a similar role
  • Proficient in document management software
  • Strong IT skills in Microsoft Office suite and SharePoint
  • Proven skill for creating and implementing document control processes and systems
  • Writing and Reporting skills
  • Ability to analyse data and apply expertise to identify improvement opportunities
