This is an exciting opportunity for an experienced Executive Administrative Assistant to join GSK's Research Technology Organisation. You will help the Vice President of Protein, Cellular and Structural Sciences by working with your manager, their teams and other Administrative Assistants. You will provide support within your area and Research Technology in general. This role also offers vital assistance for our scientific collaboration activities that support biology functions across Research Technologies

You will offer high-quality assistance with a high level of professionalism and confidentiality, while managing a broad range of duties. The ideal candidate will be an adaptable team player who is meticulous, analytical and has good organisation and communication skills.

In this role you will

  • Support the VP by providing high quality administrative support: manage schedules, arrange meetings & events including VIP visits; arrange detailed international travel plans. Review incoming correspondence, handle expense management in compliance with all policies and within the established time frame; manage agendas and associated SharePoint team sites.
  • Support the scientific externalisation activities for Research Technologies, to manage tasks associated with contract research organisations (CRO). This includes raising Purchase Orders on behalf of GSK, taking responsibility for coordinating invoice approvals, and assisting with all queries regarding payments to third parties.
  • Support for GSK:Crick Institute partnership, including meeting scheduling and Joint Steering Committee planning.
  • Manage sensitive and confidential interactions both with internal and external third parties.
  • Collaborate closely with Executive Admins (EA) and Operations Director of Target Discovery to achieve business goals at the Target Discovery level.
  • Coordinate with Research Technology Operations and the rest of the Research Technology admin team to make sure all the arrangements for Research Technology Townhalls and other Research Technology events are taken care of.

  • Proven, high levels of IT competency, spanning multiple systems and software - Microsoft Outlook, Excel, Word, and PowerPoint and collaboration tools (SharePoint teamsites, MS Teams)
  • Proven ability to assist senior executives and/or collaborate with external partners.
  • Demonstrated capability to work in a proactive way and to improve efficiency and a strong focus on detail.
  • Demonstrated skills in managing time efficiently without oversight, thinking critically and independently, and planning, prioritising and completing tasks with little manager direction.
  • Able to act discreetly, confidently, and patiently with people inside and outside the organization, at any level.
  • Experienced decision-maker with a problem-solving mindset and the ability to utilise the available tools and network to drive towards solutions.

Preferred Qualifications & Skills:

Please note the following skills are not necessary, just preferred, if you do not have them, please still apply:

  • Knowledge and experience of SAP Fiori and Ariba (Guided Buying and Management System) would be a distinct advantage.
  • Ability to work as part of a team, with excellent collaboration skills and ability to work across the admin network.
  • In-depth knowledge of GSK practices and processes
