Job Responsibility:
Job Purpose The Graduate School Support Administrator will deliver the underpinning administrative tasks associated with key initiatives that directly impact the postgraduate research student journey. The post holder will be responsible for key student support activities and process improvements that will enhance the student experience and environment for postgraduate research students. As a member of the Student and Academic Services (SAS) team within the College the post holder will work with colleagues across SAS in addition to School administration teams to ensure an effective and seamless service. Main Duties and Responsibilities 1. To deliver a range of services to students, staff and applicants whilst ensuring effective and efficient service at all times. 2. To respond to enquires; taking ownership of these and resolving issues directly or, if required, consulting with Deputy Graduate School Manager for guidance on non-standard cases. 3. To support postgraduate research students, particularly during annual registration and enrolment processes, to maintain accurate student academic and financial records in the University student record system. 4. To support the PGR examination process in accordance with University regulations including dispatch of thesis and receipt of Examiners' reports; uploading examination outcomes onto My Campus and arranging payment of External Examiners fees and expenses. 5. To provide administrative support for scholarship competitions from advertisement to receipt of applications, notification of outcomes and award of financial aid to successful candidates. To collate and enter scholarship data on to external sponsor systems eg UKRI J-eS system as required. 6. To organise and provide support for a range of events including student inductions, annual PGR training courses and other student-focussed events. 7. To manage student visa extension requests. 8. To update the Graduate School webpages as directed and update Graduate School social media as required. 9. To manage all requests for visiting PGR students from application to completion of their visit. 10. To support the Graduate School Manager and Office Manager as required in delivery of service priorities. Knowledge, Qualifications, Skills and ExperienceKnowledge/QualificationsEssential: A1 Ability to demonstrate the competencies required to undertake the duties associated with this level of post having acquired the necessary knowledge and skills in a similar role or Scottish Credit and Qualification Framework level 5 or 6 (National 5 or 6, Scottish Vocational Qualification level 2 or 3) or equivalent, and experience of personal development in a similar role Desirable: B1 Sound working knowledge of relevant academic systems and processes SkillsEssential: C1 Excellent communication skills, written and verbal, able to clarify and explain detailed information C2 Ability to work with minimum supervision, able to plan, organise and prioritise own work C3 Ability to work independently as well as a member of a team C4 Ability to use initiative to resolve problems C5 Proficient in use of a range of standard software packages including Microsoft Outlook, Word and Excel C6 Ability to exercise judgement and diplomacy when dealing with members of the academic and student communities C7 Strong ethos of customer service Desirable: D1 Previous experience of other software packages supporting enquiry management, student records and financial transactions such as My Campus, t4, Agresso D2 Previous experience of updating social media platforms ExperienceEssential: E1 Ability to demonstrate the competencies required to undertake the duties associated with this level of post having acquired the necessary knowledge, skills, qualifications (or equivalent) and experience in a similar role E2 Experience of undertaking a range of activities in accordance with established processes E3 Experience in a customer-interfacing role Desirable: F1 Experience of working in a Higher Education environment Terms and Conditions Salary will be Grade 4, £22,681 - £25,138 per annum. This post is full time (35 hours per week) and open ended (permanent).
